(CRI) is a full-service Real Estate office that offers commercial leasing, property management, brokerage, construction management, and Real Estate consulting services; with a portfolio consisting of grocery anchored shopping centers and retail buildings located in the State of Florida. Summary The primary responsibility of the Director of Property Management & Construction will lead the daily operations of assigned properties in the East Coast of Florida and tenant buildouts and construction needs for all the properties of our portfolio. This position reports directly to President of CRI. Oversee the properties in an effective and efficient manner to ensure all preventive maintenance and construction projects are completed by outside purveyors/contractors and CRI maintenance personnel within budget, on time and in a first-class manner so the properties are in safe, secure and good condition at all times. Principle Duties & Responsibilities
  • This position is responsible for driving operational excellence, ensuring consistent execution across the region, and elevating team performance and responsible for the condition of the properties, all construction projects, as well as all tenant buildouts in the portfolio.
  • Ensure that the daily operations of properties, including building systems, mechanical, parking, sweeping, landscaping and general maintenance, are executed in a manner that is consistent with CRI standards.
Serve as the primary interface for our tenants on a daily basis. Enforce lease terms. Point of contact for all tenant concerns and requests including after-hour emergencies. Maintain annual budget oversight and execute capital improvement plans. Coordinate repair and upgrades to existing facilities Responsible for new construction or tenant buildouts from planning stages until turnover. Create scopes of work as needed for bid purposes - obtain estimates, review and negotiate contracts, obtain necessary permits and award contracts to subcontractors. Oversee work and monitor services of contractors to ensure work is carried out properly. Complete final inspection and documentation of construction/repair work, and confirm that work meets tenant/company requirements. Perform regular inspections of properties, primarily common areas, dependent upon landlord obligations, location, and current projects on site. Maintain an excellent exterior appearance of the retail centers (or other properties) including façade, landscaping and parking lot upkeep, etc. Understand all emergency management policies for property management including plumbing, electrical, telephone, fire, law enforcement, and lighting. Provide direction to maintenance staff in performing related functions, daily tasks, responsibilities, upcoming events and promotions. Direct, train, and monitor work of maintenance staff. Correspond with local municipal authorities regarding notices and enforcement of local ordinances and codes. Properly code/approve invoices and provide support documentation to expedite payment process. Coordinate perform pre/post vacancy tenant inspections. Qualifications
  • Excellent organizational, written and communication skills.
  • Understanding of construction, reading plans and good working knowledge of mechanical, electrical and plumbing disciplines required.
  • Possess strong leadership skills, exceptional organizational abilities, and a comprehensive understanding of property management practices.
  • Bachelor's degree in Construction, Business or other related field and/or have 5 years' experience in a similar management-level position in property management
  • General Contractor's license (a plus)
  • Strong planning and problem-solving skills
  • Computer literacy
  • English/Spanish strongly preferred.
Physical Requirements Requires in-person attendance at our office located in Key Biscayne, Florida.
Schedule:
Monday to Friday from 7:30 am to 5:30 pm Must have active driver's license.
Travel is required:
once a month to the properties in Palm Beach and Tavernier. You will be required to use your own vehicle; however, auto allowance will be provided and travel costs will be reimbursed. A dependable vehicle is a must.
  • This role requires excellent organizational skills to manage the flow of paperwork and electronic communication and ability to manage multiple tasks efficiently.
Normal dexterity required in construction and office environment including hand-eye coordination, walking, sitting, standing, alertness (attention to detail) and answering of phones. Computer input; May require lifting of materials or boxes weighing up to 50 pounds. Much sitting and driving for extended periods of time to get to locations, and walking to perform inspection of locations Benefits Competitive Compensation $100,000 annual salary plus $10,000 bonus plan based on tasks Health Care - Medical/Dental/Visio n/Prescription Drug Coverage Profit Sharing Plan Vacation & Company Holidays Tuition Reimbursement Responsibilities and Duties include, but not limited to: Supervision of your assigned maintenance staff and outside contractors and vendors. Ensuring that all maintenance is handled in a timely manner and with professional decorum that reflects well on the property owner and Commodore Realty. Anticipate future maintenance and construction expenditures and put in motion to get items completed for a fair price as well as in a timely manner. Prepare correspondence, RFP's, Contracts, Service Agreements, default letters, review departments and tenant charge backs. When preparing RFP's and Contracts, the Director of Property Management & Construction, must understand the project completely. If needed, must complete research and/or have conversations with multiple potential bidders and the professionals hired for the project and use what is learned from each conversation to write detailed specifications. You must use CRI forms throughout the process. Upon receipt of multiple proposals for a project, organize and analyze the proposals to confirm they are all for the specified scope of work and to make a recommendation to CRI's President on which purveyor should be hired for the project. Ensure work is completed correctly and to the highest standards. Close out of projects (i.e. drafting/obtaining lien releases/affidavits, warranties, etc.) Ensure all punch lists are completed to a professional standard that meets the approval of not only local, state and federal laws but to the standard acceptable to Commodore Realty. Ensure no liens are filed against the properties. Overseeing all construction; pre-construction review, permitting, plan approval, property inspections, manage the general contractor and/or sub-contractors by demanding accountability and highest level of workmanship. Ensure that all applicable permits have been issued for each related job to be performed throughout the life of the project. Maintain an open and a good relationship with every tenant and act as the liaison between the tenant and the contractor. Any issues or complaints by tenants must be documented and notify your Supervisor to discuss the proper course of action. Ensure all 'Notice to Owners' documents are updated and all sub-contractors are paid correctly and on time. Handle telephone calls from tenants and patrons regarding any maintenance issues or requests for maintenance. Track service requests made by tenants, their employees, patrons, and purveyors by creating work orders and then assigning the task to the appropriate in-house maintenance technician or outside purveyor. Monitor each work order issued until completion. Direct, prioritize and keep the department operating efficiently. Prepare weekly schedules for maintenance staff by using the Tracking List, punch lists from inspections, and open work orders. The Maintenance staff must be scheduled 2 months in advance at all times. Hold the maintenance staff, purveyors, and contractors accountable for fair pricing, completion of work in a timely manner, and completion of work in a workman-like fashion. Ensure all maintenance, janitorial, or other supplies for the properties are ordered in a timely manner and for a fair price so they are available as needed. Ensure all incoming statements, invoices and receipts related to property management and company credit cards are being processed in a timely manner and coded correctly (coded to the corresponding property and ledger so that Accounting can post the charges and make payment). Invoices in question should not be approved. All invoices must be understood, including billing rates, charges, hours worked, equipment and materials costs, etc for the associated work confirmed and inspected before being approved. Assemble, Review, and edit as necessary maintenance team timesheets to verify team is working efficiently and time is coded to the appropriate ledgers prior to being submitted to accounting for processing payroll/maintenance billing, and ensure all timesheets are submitted to accounting on a timely basis so as not to delay processing payroll. Ensure Tenant move-ins/build-outs and final Tenant move-outs occur seamlessly. This includes, but is not limited to, making sure utilities are turned into and out of the Tenant's name immediately, Security Deposit Claim letters are always sent out within fifteen (15) days of the Tenant moving out, vacant spaces are quickly turned into show condition, the Tenant's build-outs are completed in a professional manner, and that new tenants are open for business no later than their rent commencement date, including any associated Landlord work. Work with tenants in productive manner to ensure their buildouts are completed in a manner that fulfills their lease obligation per all applicable codes/laws and will provide them the best opportunity for long term success while also adding value to the space.
