Position Overview The Document Control Associate plays a key role in supporting our Quality team by managing documentation processes related to product testing, Certificates of Analysis (COAs), and quality records. This position ensures all documentation is accurate, organized, and compliant with internal procedures, cGMP standards , and regulatory requirements. You'll collaborate with internal teams, contract manufacturers, and third-party laboratories to support testing coordination and maintain audit-ready documentation systems. What You'll Do Document Control & Quality Systems Execute document control procedures under the guidance of the Quality Manager Maintain document control systems in compliance with cGMP and regulatory standards Ensure documents are current, properly formatted, and version-controlled Proofread, edit, and prepare documentation for audits and inspections Maintain organized digital and physical quality records Support training record documentation within the Quality Management System Laboratory Testing & COA Coordination Create Testing Request Forms (TRFs) and input testing instructions Coordinate testing submissions with contract manufacturers Review Certificates of Analysis (COAs) for accuracy and completeness Communicate with third-party labs regarding testing timelines and results Identify and escalate discrepancies in documentation Shelf Stability & Documentation Support Assist with maintaining shelf stability logs and documentation Support regulatory and product testing documentation needs Maintain consistent naming conventions and filing structures Assist with document updates and version control Systems & Records Management Utilize systems such as NetSuite, Quality Folders, and Ops Drive Maintain accurate, audit-ready electronic records Support document retrieval for internal audits and regulatory inspections What Success Looks Like Accurate and timely preparation of Testing Request Forms Well-organized, audit-ready documentation systems Consistent document control practices (naming, versioning, filing) Strong communication with labs and internal teams Proactive identification and resolution of documentation issues Contribution to overall quality compliance and audit readiness Qualifications 2+ years of experience in document control, quality systems, or change control Experience working with third-party food testing labs is a plus Strong technical skills (Microsoft Office, Google Workspace) Knowledge of cGMP and regulations such as 21 CFR Part 111 Exceptional attention to detail and organizational skills Ability to manage multiple priorities in a deadline-driven environment Strong written and verbal communication skills Ability to handle sensitive documentation with confidentiality Problem-solving mindset with adaptability to changing priorities
