Job Description

Pay Range:
$17.50-19.50/ hour
POSITION SUMMARY
This position plays a crucial role in supporting the smooth and efficient operation of the Y's education programs. The Education Administrative Associate is responsible for a variety of administrative tasks, involving scheduling debits for funds related to childcare programs as well as supporting other various administrative needs of the organization.
ESSENTIAL FUNCTIONS
Accurately apply adjustments to maintain proper balance due from families in the Daxko system. Accurately schedule parent tuition payments, including online payments, checks, and credit card transactions. Reconcile parent accounts, identify and attempt to resolve payment discrepancies. Generate and distribute invoices and statements. Maintain accurate and up-to-date parent accounts within the Daxko system, including contact information, billing addresses, and payment preferences. Process account adjustments for various reasons, including vouchers, Department of Early Education and Care (DEEC) slots, and approved financial aid applications. Set up and manage recurring payment schedules for parents in the Daxko system. Manage account receivables and past-due accounts, including implementing collection procedures and communicating with parents regarding outstanding balances. Provide excellent customer service to parents by addressing account inquiries, resolving billing issues, and providing timely assistance with account access and navigation. Assist with monthly state contract childcare billing in CCFA state system. Monitor operations of state requirements for childcare reimbursable food program with DESE. Assist with the registration process for school-age programs, summer camps, and other educational offerings. Provide information to parents regarding program details, fees, and enrollment procedures. Provide general administrative support and assist with office tasks as needed.
QUALIFICATIONS
Excellent customer service and communication skills (written and verbal). Strong organizational and time-management skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. Experience with database management systems (e.g., Daxko) preferred. High school diploma or equivalent required.
