Job Summary Works as an essential part of a team with a state agency that ensures that records for building, construction, and other capital projects are organized, categorized, and processed according to state and federal records management rules and requirements. MUST have experience in the design and construction industry. Possibility of extension or permanent placement.
RESPONSIBILITIES
Scan documents into ECM system including large format, letter size, and other size paper documents. Inventory and prepare documents for scanning including repairing rips, removing staples, straightening/flattening documents and more. Accurately enter data, edit existing data, and update information from several source documents into the ECM system. Verify the completeness and accuracy of data and correct/update/modify when necessary. Visually verify the scanned images meet quality standards. Ensure all records follow file-naming standards and comply with company policy. Perform various clerical duties related to data entry, such as record searching, verification, filing, and keeping logs updated. Share documents with appropriate teams, manages permissions, and removes obsolete files from circulation. Verifies that documents meet industry standards and internal policies and prepares files for internal and external audits. Check incoming documents for accuracy, standard formatting, and correct naming conventions. Oversee document creation, archiving, and secure disposal or retention timelines. Checks incoming documents for accuracy, standard formatting, and correct naming conventions. Maintain physical and digital filing systems, databases, and document management systems.
QUALIFICATIONS
Must have experience in the design and construction industry. Associate's degree. Must have records management experience. Must have scanning experience. Solid knowledge of Microsoft applications, including Teams, Excel, Outlook, Word, SharePoint, and Adobe Acrobat. Must be deadline oriented and proactive in follow-up and execution of tasks necessaryto meet meet objectives. Must be able to take instructions and carry them out successfully Must be comfortable asking questions when you are unsure about the instructions. Must be self-reliant, and self-sufficient. Must be versatile, resourceful, and able to work in a constantly changing environment.
Pay:
$17.00 - $20.00 per hour Expected hours: 40.0 per week
