Hourly Job Summary:
Seeking a Digital Asset Management to build an ongoing audit accountability checklist and tracking mechanism to verify that all final, approved files from Communication Review Process (CRP) are successfully ingested into the DAM. The primary goal of the Digital Asset Management (DAM) consultant is to establish content management strategies, processes and governance plans for over 74,000 to ensure the integrity of the DAM, address legal and retention concerns and increase usability of the platform. We need hands-on execution across six workstreams: Set up a version control process. Configure parent-child versioning rules in Tenovos so updates to assets attach directly to the original file, carrying metadata and history along with them. Need remediation process to address over 14,000 duplicates and near identical files (duplicates in question). Establish rules for assets flagged as duplicates and create an audit process to delete duplicates Build a manual archive plan to identify, validate and archive sunsetted assets. Set up an admin-only security group/partition where assets live, completely hidden from daily general user search. Implement an automate retention process in Tenovos that tag and archive files based on Marketing and Compliance retention policy dates. Build an ongoing audit accountability checklist and tracking mechanism to verify that all final, approved files from Communication Review Process (CRP) are successfully ingested into the DAM. Reconcile assets pre integration in Seismic and Tenovos. Identify active assets between both platforms ensure both libraries talk to each other seamlessly. Align metadata (taxonomy) across our content management systems (Seismic, Ziflow and AEM)
Business Case:
Engagement of Digital Asset Management (DAM) Consultant To maximize the return on our investment in QVault (powered by Tenovos), we need to establish robust content management strategies, streamlined processes, and a governance plan. We are seeking to engage a specialized DAM contractor for hands-on execution. This role is critical to ensure the integrity of the
DAM 74,000
platform assets, mitigate legal and compliance risks, and drive user adoption across our marketing and communications teams.
Business Objectives Mitigate Compliance Risk:
Automate retention and archiving processes to ensure outdated or unapproved assets are not used in market.
Increase Operational Efficiency:
Eliminate duplicates and improve searchability so teams can find the right assets.
Enable System Interoperability:
Align metadata and reconcile assets across Tenovos, Seismic, Ziflow, and AEM to create a seamless flow of content. Scope of Work & Key Deliverables The consultant will be responsible for hands-on execution across the following seven strategic workstreams:
Version Control & Asset Integrity Action:
Configure parent-child versioning rules directly within Tenovos.
Outcome:
Updates to assets will automatically attach to the original file, preserving the historical lineage, metadata, and prior versions in a single, clean asset record.
Deduplication & Remediation Action:
Establish strict rules for assets flagged as duplicates or near-duplicates.
Outcome:
Implement an ongoing audit and remediation process to identify, review, and delete redundant files, reducing storage costs and search clutter.
Secure Archiving Strategy Action:
Build a manual archive plan to identify and validate sunsetted assets.
Outcome:
Create a restricted, admin-only security partition where retired assets live securely, completely hidden from daily general user searches to prevent accidental misuse.
Automated Compliance Retention Action:
Implement an automated retention workflow within Tenovos.
Outcome:
Files will be automatically tagged and archived based strictly on mandated Marketing and Compliance retention policy dates, ensuring regulatory alignment. Process Governance (CRP/MLR Ingestion)
Action:
Build an ongoing audit accountability checklist and tracking mechanism.
Outcome:
Guarantee that 100% of final, approved files exiting the Communication Review Process (CRP) are successfully and consistently ingested into the DAM.
Seismic Integration & Asset Reconciliation Action:
Reconcile active assets between Seismic and Tenovos prior to full technical integration.
Outcome:
Ensure a clean migration and guarantee that both platforms "talk" to each other seamlessly, eliminating content silos between marketing and sales enablement.
Omnichannel Taxonomy Alignment Action:
Standardize metadata schemas across our core content management systems.
Outcome:
Ensure taxonomy is perfectly aligned across Seismic, Ziflow, AEM, and Tenovos, enabling cross-platform reporting and universal searchability. Expected Value & ROI By executing these workstreams, the DAM contractor will immediately drive value by reducing legal liability associated with outdated assets, optimizing storage through deduplication, and increasing team productivity by significantly reducing the time spent searching for or recreating lost files and platform credibility
Shift/Time Zone:
Monday through Friday, 8 am to 5 pm
