Project Overview The Records & Information Specialist supports the Corporate Records team by reviewing, preparing, digitizing, and classifying hard-copy documents for inclusion in the organization's Records Management System. Under the supervision of the Digital Warehouse and Functional Business Owner, this role assists in the creation of a digital library for all current physical payroll records. Knowledge of payroll documents is highly recommended. Job Functions & Responsibilities Review hard-copy documents to determine whether they meet the criteria for official records. Classify and accurately name records in accordance with established naming conventions and filing guidelines. Prepare documents for scanning by organizing materials, removing staples, and ensuring all documents are scan-ready. Perform electronic scanning of records and support associated processes under general direction. Scan hard-copy records using standard imaging equipment and verify image quality. Upload scanned documents into the Records Management System with accurate metadata. Maintain organization and tracking of documents throughout the preparation, scanning, and upload process. Conduct basic quality control checks to ensure the accuracy and completeness of digitized records. Work with Records Retention Schedules by associating documents with Record Series Titles, retention periods, regulations, and RM File Numbers. Capture metadata and other valuable information to support records compliance requirements. Maintain strict confidentiality regarding all records, including HIPAA, PII, and other sensitive business information. Proactively improve the searchability of scanned records by understanding business area requirements and needs. Required Skills & Qualifications Prior experience or knowledge of Content Server, SharePoint, or other Content Management Systems is preferred. Strong attention to detail and commitment to accuracy. Ability to follow established procedures, filing guidelines, and naming conventions. Proficiency with basic computer applications and comfort working with digital files and databases. Ability to manage repetitive tasks while maintaining a high level of quality. Strong organizational skills with the ability to meet deadlines. Prior experience with scanning, records management, content management principles, methodologies, and solutions, with demonstrated practical application. Demonstrated experience working with modern electronic filing and content management systems. Ability to prioritize and manage projects from conception through completion, including collaboration with end users to ensure final deliverables meet business requirements and expectations. Education & Certifications Bachelor's degree in a related field preferred. Minimum of 3 years of experience in Records Management or Information Management. Ability to reach, bend, retrieve, and return files stored on shelves as required.
