We offer in-lab robotics programs, camps, competition teams, and after-school programs in partnership with local schools. We are a small, growing education business, so this role is an important part of keeping our day-to-day operations organized, responsive, and running smoothly. About the Role We are looking for a reliable, organized, and proactive Education Program & Operations Coordinator to support the daily operation of our learning center. This is a hands-on operations role. A significant part of the job involves parent communication, scheduling, follow-up, enrollment support, instructor coordination, maintaining accurate records, and handling the many small details that keep classes and programs running smoothly. This position is best suited for someone who genuinely enjoys creating order, following through on details, communicating with families, and solving everyday operational problems. This is not primarily a marketing, creative, or project-based role. While there are opportunities to improve systems and take on new projects, the core responsibility is consistent and reliable execution of daily operations. Key Responsibilities Parent & Customer Communication Serve as a primary point of contact for parents via email, phone, text, WeChat, and in-person communication. Respond to inquiries regarding classes, trials, enrollment, schedules, make-ups, camps, and other program questions. Follow up with prospective and current families in a timely and professional manner. Communicate clearly in both English and Mandarin when needed. Keep track of open questions and ensure issues are followed through to resolution. Program & Schedule Coordination Maintain class, student, trial, and instructor schedules. Coordinate instructor availability, substitutions, schedule changes, and classroom needs. Help ensure instructors have the information and materials they need before classes. Support camps, after-school programs, competition programs, and special events. Communicate schedule or program changes promptly to families and instructors. Daily Learning Center Operations Help open and close the center and ensure classrooms and front-desk areas are ready. Maintain accurate student rosters, attendance information, notes, and operational records. Monitor supplies and classroom needs and address problems before they affect programs. Assist families and instructors with day-to-day questions and unexpected situations. Identify operational problems and take initiative to resolve or escalate them rather than waiting for detailed instructions. Administrative & Operational Support Maintain organized digital files, spreadsheets, forms, and internal records. Complete routine administrative follow-up accurately and on time. Help document and improve operating procedures. Support school partnerships and other administrative projects as needed. Keep the owner/team informed of important issues, pending decisions, and unfinished tasks. What We Are Looking For Reliability and follow-through are extremely important for this position.
The ideal candidate:
Is dependable, punctual, and consistently responsive during working hours. Takes ownership of responsibilities and follows tasks through to completion. Is comfortable handling many small, sometimes repetitive operational tasks. Can prioritize when several parents, instructors, or operational issues need attention at the same time. Notices problems and takes appropriate action without needing constant supervision. Communicates warmly and professionally with parents, children, and instructors. Is organized and comfortable working with schedules, spreadsheets, email, messaging platforms, and business software. Can work independently while communicating proactively with a small team. Is interested in building a stable, long-term role in education and/or operations. Language Professional English communication skills are required. Mandarin Chinese proficiency is strongly preferred. A significant portion of our families communicate with us in Mandarin, including through WeChat, so the ability to communicate professionally with parents in both English and Mandarin is highly valuable for this position. Experience Experience in one or more of the following areas is helpful: Education or enrichment programs School or preschool administration Tutoring or learning centers Office administration Program coordination Medical/dental/front-office operations Customer service Family-facing service businesses Robotics experience is not required . Schedule This is a full-time, primarily on-site position based at our Bellevue/Factoria learning center. The regular schedule is Tuesday through Saturday , including: Afternoon/evening hours Tuesday-Friday Daytime hours Saturday Daytime hours during school breaks, camps, and certain special programs Because Saturday is one of our busiest operating days, consistent Saturday availability is an important requirement of this position. Some administrative work may occasionally be completed remotely after training when operationally appropriate, but this should be considered an on-site position rather than a remote or hybrid role .
