Job Description

The Education & Membership Coordinator is the operational engine behind our member experience. This person owns event registration and attendee communications end to end, keeps our membership data accurate and usable, and makes sure every conference, webinar, and member meeting we hold runs the way it should. This is a hands-on coordination role with real ownership, not a support role. You will be the person members and speakers hear from, the person who catches what others miss, and the person whose systems everyone else relies on. We are a technology-forward organization and are looking for someone who is curious about how systems, data, and emerging tools can help us work smarter. This role will have opportunities to improve and streamline internal processes, develop dashboards and metrics that help us understand member engagement and program performance, and identify practical ways to leverage technology and AI across our work. Education & Event Coordination Own the registration process for all educational programs, webinars, and conferences, including platform setup, attendee communications, rosters, and troubleshooting Coordinate event logistics: venues, room setups, catering, audiovisual needs, materials, and vendor communication Serve as the primary point of contact for speakers — scheduling, agreements, materials collection, presentation formatting, and day-of coordination Produce event materials including signage, name badges, program packets, and evaluation instruments Execute onsite at conferences and meetings, managing the registration desk and resolving issues in real time Administer continuing education credit: track attendance, prepare and issue certificates, and maintain documentation to meet provider requirements Close out each event with evaluation analysis, attendance reporting, and distribution of session materials Membership & Sponsorship Serve as the system of record for membership data — process onboarding and renewals, maintain accuracy in the association management system, and produce membership reports on a regular cycle Coordinate sponsorship and exhibitor fulfillment, tracking deliverables against commitments and confirming each benefit is delivered Draft and schedule member communications, including newsletters, program promotion, and engagement campaigns Coordinate logistics for member networks, peer groups, and engagement activities Flag renewal risk and engagement gaps to the Director of Membership Engagement & Business Development Operations & Administration Coordinate logistics for board and committee meetings, including scheduling, materials assembly, and follow-up Keep the website and database current Manage the shared inbox and route member inquiries to the right staff member Maintain organized records, contracts, and documentation Identify opportunities to streamline workflows, strengthen internal processes, and use technology and automation to improve efficiency and the member experience Help develop and maintain dashboards, metrics, and reporting tools that turn membership, engagement, and program data into useful insights for the team
Qualifications:
Required Bachelor s degree, or three years of directly relevant experience in place of a degree Two to four years of experience coordinating events, education programs, or membership services - association, nonprofit, or professional society setting strongly preferred Demonstrated ownership of event logistics from planning through onsite execution, not solely support of someone else s events Proficiency with an association management system, CRM, or comparable database, and with an email marketing platform Strong working knowledge of Microsoft Office Clear, professional writing suitable for direct member communication with minimal editing Proven ability to manage competing deadlines across multiple concurrent projects Valid driver s license and ability to travel throughout Virginia Preferred Background in aging services, long-term care, health care, or another regulated professional field Experience administering continuing education credit, including certificate issuance and provider recordkeeping Working knowledge of Canva or Adobe Creative Suite basics and website content management Comfort with technology and data, including an interest in using AI, automation, dashboards, and other emerging tools to improve processes and inform decision-making
