- Friday, 8 hours between 8am
- 6pm, some evenings and weekends may be required.

This position supervises and supports prescreening staff by assigning work, monitoring processes, providing training, and communicating updates to ensure team success. Serving as the primary point of contact for advising prescreening activities, the role collaborates with advisors and campus partners to facilitate accurate and timely student support. This position plays a key role in maintaining efficient service delivery and creating a positive first point of contact experience for students. Essential Functions 30% Provides day-to-day supervision and leadership for Advising Pre-Screening and Intake services across all Academic Advisement areas, ensuring consistent delivery of high-quality student support and customer service. Coordinates daily operations, including staff scheduling, workload distribution, workflow management, and service coverage. Monitors staff performance, provides coaching and feedback, and supports employee development. Interprets and applies college and district policies, procedures, and advising practices to ensure accurate and consistent service delivery. Collaborates closely with department leadership to identify operational trends, address systemic issues, and implement process improvements that enhance student services and operational effectiveness. 25% Serves as the primary point of contact for students seeking advising services by conducting student triage, reviewing application completion, placement information, program selection, and other enrollment requirements to determine the appropriate advising pathway. Connects students with the appropriate advisor and campus resources based on their individual needs. Provides academic advising and guidance through in-person, phone, virtual, and online modalities as needed. Serves as content expert on advising procedures, enrollment processes, academic policies, and student success resources. Provides timely, accurate, and student-centered customer service while resolving routine student inquiries. 20% Assists students in navigating admissions, enrollment, registration, financial aid, residency, placement, and related student services. Collaborates with advisors, faculty, and campus partners to resolve student concerns and remove barriers to enrollment and persistence Exercises independent judgment to resolve student situations and determine appropriate referrals. Provides proactive follow-up and referrals to ensure students receive the resources and services needed to achieve their academic goals. Serves as a liaison between the Advising Pre-Screening team, Academic Advisement, and other college departments to support coordinated service delivery. 15% Monitors Advising Pre-Screening workflows and identifies opportunities to improve processes, efficiency, and service quality. Troubleshoots operational and technical issues impacting service delivery and coordinates resolution with appropriate departments. Monitors project progress, evaluates outcomes, and ensures timely completion of deliverables in alignment with established service standards and departmental goals. Develops and maintains project documentation, reports, and communication materials to support transparency, accountability, and effective collaboration. Collects, analyzes, and reports operational data to support departmental assessment, planning, and continuous improvement. Participates in departmental meetings, committees, and special projects that support strategic initiatives and student success. 10% Recruits, hires, and facilitates onboarding for part-time Advising Pre-Screening staff in accordance with college and district policies. Develops and delivers training to ensure staff are knowledgeable in advising procedures, technology systems, customer service expectations, and departmental processes. Provides ongoing coaching, mentoring, and support to foster employee growth, accountability, and service excellence. Plans and leads regular team meetings to communicate updates, reinforce best practices, and promote collaboration. Ensures compliance with college, district, state, and federal policies and regulations related to advising and student records. Minimum Qualifications Bachelor's Degree from a regionally accredited institution and two years of student services or college teaching experience, or experience coordinating, administering, planning, or evaluating programs. OR An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation. Desired Qualifications Master's Degree or higher Two (2) or more years of experience providing academic advising in a college or university setting, including assisting students with academic planning, program requirements, enrollment processes, and navigating institutional policies and resources. One (1) or more years of experience leading the work of a team, including assigning work, providing guidance and support, monitoring performance, and ensuring completion of team responsibilities. One (1) or more years of experience using student information systems, degree audit systems, advising platforms, and/or learning management systems (e.g., Student Information System (SIS- People Soft), Canvas, ConexEd) to support student services, advising, or academic processes.
