043026/25-26:60 SUMMARY The Attendance Specialist is responsible for planning, coordinating, and processing the district's student attendance and enrollment data to ensure accuracy and integrity. Under the direction of the Director, Fiscal Services, or a designee, the incumbent manages the Student Information System (SIS) and performs complex record analysis relative to attendance. This role ensures compliance with the California Education Code and prepares critical reports for submission to the County Office of Education and the State of California.REPRESENTATIVE DUTIES
Coordinate and process the district's student attendance and enrollment data while ensuring proper data entry and integrity at both the District and site levels. Perform longitudinal analysis of student data, including calculations for attendance and absenteeism rates. Develop and defend enrollment and Average Daily Attendance (ADA) projections for any point during the school year. Audit and monitor the District Student Information System (SIS), such as Aeries, related to attendance. Perform ad hoc queries and data analysis using SIS query language and Microsoft Structured Query Language (SQL) to produce custom reports or identify erroneous data. Design and develop automated systems, programs, and procedures to support attendance-taking and reporting processes. Resolve SIS coding Assist in supporting site-level attendance clerks and secretaries, including training. Conduct year-round training for administrators, teachers, and clerical personnel on attendance reporting. Conduct attendance audits at school sites and communicate results to site and District office administration. Oversee and fulfill attendance reporting requirements as outlined by the California Department of Education.MINIMUM QUALIFICATIONS
Ability to: Analyze complex problems and prescribe effective solutions or alternatives. Communicate clearly and concisely, both orally and in writing, with a wide variety of partners. Work independently with minimal direction while maintaining close attention to schedules and deadlines. Establish and maintain effective working relationships with those contacted in the course of work. Operate a computer keyboard at a corrected speed of 30 words per minute and a ten-key calculator with accuracy.Knowledge of:
California Education Code sections relevant to student attendance, record-keeping, and accounting. Aeries SIS or similar automated student information systems. Data processing principles, including data integrity and reporting design. Microsoft Office Suite, with an extreme emphasis on Excel and SQL (Alternatively, knowledge of Google equivalent applications). Standard office procedures, including English usage, grammar, and complex record-keeping techniques.Education and Experience:
Education:
A four-year university degree in Math, Computer Science, Economics, Business Administration, or a closely related Experience may be substituted for up to two years of education. Alternatively, completion of the twelfth grade with college coursework in accounting and computer operations.Experience:
Three to four years of increasingly responsible experience with automated attendance systems and online report platforms. Experience developing client/server applications (e.g., Access, Google AppSheet, etc.) and conducting user training is highly desirable.WORKING CONDITIONS WHICH MAY OCCUR
