An Elementary and Secondary School Administrator supervises teachers, counselors, librarians and other school staff, manages a school budget and finances, provides instructional leadership and monitors progress toward local, state and federal educational standards. Directs student discipline and works with parents and community partners. May work in other school district administrative or professional positions such as school district superintendent.

Administration and Head of School Position Overview The Academy Coordinator helps ensure the smooth day-to-day operation of Legacy Christian Academy. The Coordinator serves as the primary operational point person on campus and the first point of contact for many routine parent, enrollment, student, instructor, volunteer, and logistical needs. The Academy Coordinator works under the direction of LCA Administration and helps carry out established academy policies and procedures. Matters requiring administrative authority are referred to the appropriate administrator. The Academy Coordinator's role is to help run the day-to-day operations of the academy while administration retains responsibility for major academic, personnel, financial, disciplinary, and policy decisions. Primary Responsibilities Campus Operations Help oversee the day-to-day operation of the academy on campus days. Coordinate campus setup and teardown. Ensure classrooms, common areas, and shared spaces are prepared for the school day. Help maintain an organized, safe, welcoming, and professional academy environment. Assist with student arrival, dismissal, transitions, and early pickups. Coordinate routine operational needs with instructors, aides, volunteers, and administration. Help ensure established academy procedures are followed throughout the school day. Monitor facility, classroom, equipment, and supply needs and communicate those needs to administration. Assist with academy events, information meetings, field trips, special activities, and other operational needs as assigned. Instructor Onboarding & Academic Support Assist with onboarding new instructors into LCA procedures, expectations, schedules, and systems. Orient instructors to LCA's hybrid learning model and the responsibilities of campus-day instruction and home-day assignments. Train instructors in the practical use and implementation of LCA-approved curriculum. Help instructors understand curriculum pacing, teacher guides, student materials, and assigned instructional resources. Train and support instructors in preparing clear, organized, and usable lesson plans. Help instructors understand LCA lesson-plan expectations, formatting, submission procedures, and parent-facing assignments. Provide practical support to instructors who need assistance organizing weekly instruction and home-learning assignments. Help instructors access curriculum materials, digital resources, shared documents, and academy systems. Provide routine follow-up and support during an instructor's onboarding period. Identify instructor training needs and communicate them to administration. Coordinate additional curriculum or lesson-planning support as directed by administration. Reinforce established LCA academic procedures and expectations without independently changing curriculum or academic policy. Final curriculum selection, major curriculum changes, formal instructor evaluations, and academic policy decisions remain the responsibility of LCA Administration. Substitute Coordination & Classroom Coverage Serve as the first point of contact when an instructor calls out or reports an absence. Help secure and coordinate an approved substitute instructor when coverage is needed. Maintain an organized list of available substitutes and their contact information. Contact available substitutes and confirm classroom coverage. Provide substitutes with assignment details, schedules, classroom locations, lesson plans, and necessary instructional information. Notify administration when substitute coverage is needed or when coverage cannot be secured. Help coordinate immediate classroom coverage when an instructor is unexpectedly absent. Substitute for instructors as needed to maintain classroom coverage and continuity. When necessary, personally provide substitute instruction until other coverage can be arranged. Follow established lesson plans and instructor directions when serving as a substitute. Communicate significant classroom concerns to administration. Volunteer Coordination & Organization Serve as the primary coordinator for academy volunteers. Help recruit volunteers based on academy needs. Organize and schedule volunteers. Maintain organized volunteer schedules and contact information. Communicate volunteer assignments, schedules, expectations, and responsibilities. Ensure volunteers know where they are assigned and what is expected of them. Coordinate day-of volunteer placement and coverage. Organize volunteers for recess, lunch, campus setup and teardown, special activities, events, and other appropriate academy needs. Help ensure volunteers understand and follow LCA safety, confidentiality, student-interaction, and campus procedures. Communicate volunteer concerns or performance issues to administration. Work with administration to identify areas where additional volunteer support would benefit the academy. The Academy Coordinator may direct the day-to-day activities of volunteers but does not independently establish personnel policies or make formal employment decisions. Chapel Setup & Support Coordinate setup and teardown for academy chapel. Ensure the chapel space is prepared before students arrive. Set up and check necessary sound equipment, microphones, presentation equipment, and other chapel technology. Ensure presentation slides and other media are prepared and functioning before chapel begins. Troubleshoot basic sound, presentation, or technology issues as needed. Coordinate with administration, chapel speakers, worship leaders, or other participants regarding chapel needs. Help restore the chapel space following academy use. Recess, Lunch & Physical Setup Coordinate setup and teardown of spaces and equipment used for recess and lunch. Move, arrange, and return tables, chairs, recreational equipment, supplies, and other materials as necessary. Help prepare outdoor and indoor spaces for student activities. Ensure recess and lunch areas are ready before students arrive and appropriately restored afterward. Assist with other reasonable physical setup and teardown needs related to academy operations, chapel, information meetings, events, and special activities. Maintain awareness of safe lifting, moving, and setup practices. Student Supervision Help oversee students during recess, lunch, transitions, arrival, dismissal, and other shared campus periods. Coordinate appropriate supervision coverage with instructors, aides, and volunteers. Help maintain orderly and safe student movement throughout the campus. Respond to routine student needs. Refer serious behavioral or disciplinary matters to administration. Ensure students are released only according to established LCA pickup and student-release procedures. Parent & Family Communication Serve as the first point of contact for routine parent questions. Help families understand academy schedules, procedures, activities, and expectations. Coordinate early student pickups and routine schedule changes. Communicate important logistical information to families as directed by administration. Guide parents through curriculum purchasing procedures. Help families understand available charter-school connections and processes that may assist with curriculum purchasing or funding. Refer significant complaints, sensitive concerns, serious discipline issues, policy questions, or matters requiring administrative authority to administration. Enrollment & Prospective Families Serve as the initial point of contact for prospective families interested in enrollment . Provide basic information regarding LCA programs, schedules, tuition, fees, curriculum, and the enrollment process. Help prospective families begin the enrollment process. Guide families through initial enrollment steps and documentation. Direct families to administration when administrative approval, exceptions, decisions, or additional review are required. Help conduct information and enrollment meetings. Assist with prospective-family follow-up as directed. Organize enrollment forms, information packets, and other enrollment materials. Financial Communication Serve as the first point of contact for routine tuition, fee, and payment questions. Help families understand payment schedules, payment methods, fees, and basic account procedures. Assist families in understanding where and how payments should be made. Assist administration with routine financial communication and record coordination as assigned. Maintain appropriate confidentiality regarding family financial information. Direct questions involving discounts, refunds, payment arrangements, disputed balances, financial hardship, or other financial decisions to administration. The Academy Coordinator does not independently approve discounts, refunds, payment arrangements, scholarships, tuition adjustments, or other financial exceptions. Attendance, Records & Student Accountability Assist with student attendance and routine attendance documentation. Document late arrivals and early departures. Help maintain accurate emergency-contact and student information as directed. Assist with routine forms, records, and academy documentation. Help ensure administration is informed of significant attendance or student-accountability concerns. Maintain confidentiality regarding student and family records. Safety & Emergency Coordination Serve as an operational point person during urgent or emergency situations. Follow established LCA emergency and safety procedures. Contact campus security when necessary. Contact law enforcement when circumstances require immediate assistance. Contact emergency medical services when necessary. Coordinate the initial response to student or staff medical needs according to LCA procedures. Contact parents, guardians, emergency contacts, or other appropriate parties regarding student medical or safety needs. Immediately notify administration of significant safety, medical, security, or emergency incidents. Assist instructors, aides, volunteers, and students during emergency procedures. Help coordinate emergency drills and preparedness activities as directed. Be familiar with applicable evacuation, lockdown, earthquake, reunification, and emergency-response procedures. Incident & Accident Documentation Help document student injuries, accidents, medical incidents, safety concerns, unusual events, and other matters requiring an academy record. Document early pickups and other significant student-release situations when required. Promptly provide relevant incident information to administration. Maintain appropriate confidentiality when handling incident documentation. Mandated Reporter Responsibilities Comply with all applicable mandated-reporter requirements. Complete required mandated-reporter training. Report suspected child abuse or neglect as required by law. Understand that mandated-reporting responsibilities are personal legal obligations and are not replaced by simply informing an administrator. Communicate significant child-safety concerns to administration in addition to completing any legally required reporting. Visitor & Campus Access Serve as a point of contact for visitors arriving on campus. Help ensure visitors follow established academy check-in and access procedures. Direct prospective families, vendors, volunteers, and other visitors to the appropriate location or staff member. Help maintain awareness of who is present on campus during academy operations. Notify administration of unauthorized, concerning, or unusual campus activity. Administrative Support Assist with forms, supplies, routine records, communications, and academy documentation. Help prepare for academy information meetings and special events. Communicate operational needs and concerns to administration. Identify problems requiring administrative attention and escalate them promptly. Assist administration with implementation of established academy procedures. Perform other reasonable operational duties necessary for the smooth functioning of Legacy Christian Academy. Physical Requirements This position includes regular operational and physical setup responsibilities. The Academy Coordinator should be able to: Stand and walk throughout the campus for portions of the school day. Assist with setup and teardown of recess, lunch, chapel, meetings, and academy activities. Move and arrange tables, chairs, recreational equipment, technology, supplies, and other academy materials. Perform reasonable light-to-moderate physical activity associated with daily academy operations. Work both indoors and outdoors as academy activities require. Perform the essential functions of the position with or without reasonable accommodation. Confidentiality The Academy Coordinator may have access to private information regarding students, families, employees, enrollment, finances, medical needs, discipline, and other academy matters.

Be comfortable performing the physical setup and teardown responsibilities associated with academy operations. Have basic comfort with sound systems, presentation slides, computers, and audiovisual equipment. Remain calm and exercise sound judgment during medical, safety, behavioral, or emergency situations. Be able to manage multiple responsibilities in a fast-moving school environment. Exercise good judgment regarding which situations can be handled operationally and which must be elevated to administration. Work collaboratively with instructors, aides, volunteers, administrators, families, and church leadership. Demonstrate patience, professionalism, confidentiality, attention to detail, and a servant-leadership mindset. Support and uphold the mission, values, policies, and Christian identity of Legacy Christian Academy. Complete all LCA-required background, safety, mandated-reporter, and other required training. Successful Performance A successful Academy Coordinator helps create an academy where: Daily operations run smoothly. New instructors understand LCA procedures, curriculum, and lesson-planning expectations. Instructor absences are addressed quickly and substitute coverage is coordinated. Students are appropriately supervised. Volunteers are organized and effectively utilized. Chapel is prepared and technically ready. Recess and lunch spaces are properly set up and maintained. Parents know whom to contact for routine needs. Prospective families receive timely assistance. Teachers can focus primarily on teaching. Safety and emergency procedures are followed. Routine issues are handled efficiently. Matters requiring administrative authority are escalated appropriately. LCA Administration is able to focus on leadership, academics, personnel, policy, and major decision-making. The Academy Coordinator serves as the primary operational point person for Legacy Christian Academy while working under the authority and supervision of LCA Administration.
