JOB SUMMARY
The Athletic Director provides strategic leadership and hands-on management of the Athletics Department, including oversight of leagues, gym operations, staff, and volunteers. This role is responsible for designing, implementing, and sustaining high-quality athletic programming that promotes youth development, sportsmanship, and community engagement. Reporting to the Director of Youth Services, the Athletic Director leads all aspects of athletic operations, including program development, staff supervision, budget management, community partnerships, and facility oversight. This position serves as a key leader within the organization, fostering a positive, inclusive, and safe environment for youth, families, staff, and volunteers.
DUTIES AND RESPONSIBILITIES
Program Leadership & Operations:
Provide overall leadership, planning, and execution of all athletic leagues, programs, and gym operations. Develop and implement engaging, developmentally appropriate athletic programming for youth ages 3.5 - 18. Oversee league and facility scheduling, ensuring efficient and organized operations. Take lead in discipline processes for all league players, communicating incidents and accidents with the Athletic Coordinator. Ensure gym spaces are safe, structured, and conducive to positive youth experiences. Maintain accurate program records, including attendance, outcomes, and impact data. Support Open Club (outdoor recreation time) by actively supervising members, facilitating active games, and creating a safe, engaging environment Serve as a key support to the Director of Youth Programs, assisting with daily operations, program implementation, and overall clubhouse needs.
Staff & Volunteer Management:
Supervise, coach, and develop the Athletic Coordinator. Establish clear performance expectations aligned with departmental and organizational goals. Recruit, train, and manage volunteer coaches and paid referees. Lead training sessions to ensure adherence to safety standards, game rules, and best practices. Foster a positive, inclusive, and accountable team culture.
Youth Development & Community Engagement:
Promote a culture of sportsmanship, inclusion, and positive youth development. Build and maintain strong relationships with youth, families, and community partners. Serve as a liaison to local schools, leagues, and athletic organizations. Support athlete recruitment and community participation in programs.
Administrative & Financial Management:
Develop and manage departmental budgets, including tracking expenses and identifying funding opportunities. Oversee registration processes in partnership with Membership staff. Ensure timely completion of administrative duties, including and not limited to: timecards, attendance tracking, and reporting. Partner with Marketing to promote programs and events effectively.
Facilities & Equipment Management:
Oversee maintenance, cleanliness, and safety of gym facilities and shared spaces. Manage inventory and procurement of athletic equipment and supplies. Ensure all facilities meet organizational and safety standards.
Organizational Leadership:
Uphold and model organizational policies, procedures, and Boys & Girls Club values. Support BGCSV annual events as needed, including occasional evenings and weekends. Perform other related duties and responsibilities as assigned to support organizational needs. Adhere to organizational policies and procedures as described in the organization's Employee Handbook and elsewhere. Director-on-Duty & Operational Coverage As needed, serve as Director on Duty (DOD) during assigned shifts, providing on-site coordination and leadership coverage when site directors are unavailable. During DOD coverage, support daily site operations, member safety, staff coordination, and incident response in accordance with established policies and escalation procedures. Communicate operational issues and incidents to supervisors and site leadership as required.
Other Responsibilities:
Perform other duties assigned, this may include supporting after-school programming on non-league days. Supervise members to ensure alignment with the Club's philosophy and objectives. Provides support for BGCSV annual events as needed; occasional evening and weekend availability may be required. Performs other related duties and responsibilities as assigned to support the needs of the organization
REQUIRED QUALIFICATIONS
Bachelor's degree in a related field preferred or equivalent experience. Ability to work a flexible schedule, including evenings (programs may run until 9:00 PM) and occasional weekends. Experience in youth program development, particularly in athletics or recreation. Strong leadership, organizational, and program management skills. Demonstrated ability to de-escalate crisis situations effectively. Strong knowledge of multiple sports, including the ability to educate, train, and support coaches, referees, and parents on league rules and expectations. Understanding of youth development principles and practices. Ability to create practice plans for multiple sports Strong interpersonal, conflict resolution, and communication skills. Ability to analyze data, maintain records, and generate reports. Ability to pass the Sonoma Valley Unified School District's Instructional Aide test with at least 70%. Proficiency in basic administrative and technology tools. Proficiency with Google Workspace (Drive, Docs, Sheets) and Microsoft Outlook. Successful completion of DOJ fingerprint clearance, CPR, and First Aid certification. Completion of Mandated Reporter and child abuse prevention training.
RECOMMENDED QUALIFICATIONS
Bilingual in Spanish. Minimum of three (3) years of experience in athletics, recreation, or youth development program management. Experience with the Boys & Girls Club Movement.
WORK ENVIROMENT & PHYSICAL REQUIREMENTS
The work environment includes typical indoor classroom and recreation settings, as well as outdoor environments. While performing the essential functions of this position, employees must meet below physical requirements: Ability to observe, hear, and physically respond to children's needs to ensure safety and engagement. Ability to lift, carry, push, or pull up to 50 lbs. as needed (with or without accommodation). Ability to sit, stand, stoop, and bend frequently. Ability to walk for extended periods of time and provide active supervision to children in classroom, gym, and playground settings. Continually required to talk or hear. Ability to walk on uneven surfaces and move safely between indoor and outdoor environments. Ability to use hands and fingers to handle or operate gym equipment, floor cleaning machinery, program materials and computer equipment. Ability to use technology (e.g., tablet, computer, walkie-talkie) for communication and program support. Noise level is usually moderate to loud.
