Position Summary The Lower School Coordinator provides comprehensive administrative and operational support to the Lower School, serving as a key point of contact for faculty, families, instructors, administrators, vendors, and guests. This position coordinates enrichment programs, purchasing, expenses, calendars, events, facilities, student information systems, and daily Lower School operations. The ideal candidate is highly organized, detail-oriented, responsive, collaborative, and able to manage multiple priorities in a fast-paced school environment. Essential Responsibilities Program Coordination Support Lower School programming, events, holidays, and Jewish lifecycle programs. Purchasing & Budget Management Coordinate Lower School school-supply and curriculum purchasing, including annual summer orders and ongoing daily requests. Serve as the primary point of contact with EPI and manage vendor correspondence and delivery issues. Work with teachers and department heads to review, adjust, approve, and submit orders. Maintain master purchasing spreadsheets and ensure appropriate Business Office approvals. Receive, check, and distribute orders and packages to teachers and departments. Expense Management Manage the Lower School's front-end expense-management process. Collect and submit receipts and expenses for appropriate approval and coding. Maintain accurate expense records and ensure submissions are completed regularly. Manage expenses and stipends associated with outside instructors and enrichment programs. Calendaring, Events & Facilities Maintain the Lower School calendar, Principal's calendar, and shared-space calendars. Schedule rooms through EMS and coordinate use of spaces for teachers, programs, and events. Coordinate event logistics, including catering, room setup, technology, security, and air conditioning. Submit and track facilities work orders, serving as backup support for school facilities needs. Office & Community Support Serve as a primary point of contact for the Lower School through email, phone, and in-person communication. Support gate and guest management, including visitor registration and security procedures. Provide administrative support to Lower School leadership and faculty. Assist with operational needs across the division and, when appropriate, provide support to other school divisions. Blackbaud & Student Information Support Lower School functions in Blackbaud, including class building, rostering, attendance management, and report card processes. Maintain accurate student, class, and program information. Qualifications Strong organizational and time-management skills. Exceptional attention to detail and accuracy. Excellent written and verbal communication skills. Strong customer service and interpersonal skills. Ability to work effectively with faculty, administrators, families, vendors, and outside instructors. Ability to prioritize and manage multiple deadlines in a busy school environment. Proficiency with Microsoft Office/Google Workspace and spreadsheets. Ability to maintain confidentiality and exercise sound judgment. Proactive, flexible, collaborative, and solution-oriented approach to work. Work Environment This is a highly collaborative, service-oriented position that requires frequent interaction with faculty, students, families, administrators, vendors, and outside instructors. Workload varies throughout the year, with particularly high-volume periods in August, December, and February/March. The Coordinator must be able to adapt to changing priorities and respond effectively to time-sensitive needs.
