Job Description

The Miami Job Corps Center is seeking a detail-oriented, organized, and student-focused Records Officer to join our team in Miami Gardens, FL. In this important role, you will help ensure that student records are accurate, complete, secure, and maintained in accordance with Job Corps, U.S. Department of Labor (USDOL), and Center requirements. The Records Officer plays a critical role behind the scenes—ensuring that the information supporting student services, accountability, reporting, pay, allowances, leave, travel, enrollment, and other essential programs is accurate and up to date. What You'll Do Maintain the accuracy, completeness, and integrity of student records and schedules . Audit and verify separating student records for accuracy, validity, and completeness. Ensure student records are properly maintained to support timely and accurate required reporting. Successfully deploy and maintain CPP and CDP records . Ensure compliance with the CIS database management program , USDOL requirements, Job Corps guidelines, PRH requirements, and applicable financial audit standards. Maintain accurate documentation related to enrollment, pay, allowances, leave, travel, allotments, morning reports, weekly reports, and other student records. Assist students with questions and matters related to pay, allowances, leave, travel, and other records-related services . Maintain strict confidentiality of student, employee, personnel, financial, program, operational, and other confidential information. In the absence of the Student Records Manager, provide leadership and oversight to Student Records staff. Assist with training Records Clerks and other staff on proper record maintenance, documentation, systems, policies, and procedures. Provide training and ongoing support to new and current employees as needed. Promote and model the Career Success Standards and support a positive, respectful environment for students. Provide exceptional customer service while holding students accountable for appropriate actions and behavior. Identify problems, analyze causes, recommend appropriate solutions, and follow through to ensure issues are resolved. Communicate information clearly and professionally, both verbally and in writing. Work collaboratively with staff across departments to ensure students receive effective supervision and quality services. Provide accurate and timely information to the Department of Labor and company leadership when requested. Accept direction from Center leadership and assist with temporary assignments or other responsibilities as needed. Perform other duties as assigned.
What We're Looking For Required:
High school diploma or equivalent. Computer literacy and proficiency with word processing and spreadsheet applications . Strong organizational skills and attention to detail. Ability to maintain confidentiality and handle sensitive information appropriately. Ability to communicate effectively, both verbally and in writing. Commitment to providing quality customer service and supporting student success.
Preferred:
Degree or certification from an accredited college, school, or relevant training program. Experience supervising or leading staff in records keeping, administrative support, or a related environment. Experience working with electronic records and database systems. Experience in a compliance-driven, educational, workforce development, or human services environment.
