Position:
Athletic Director Secretary/Additional School Duties Supervisor:
Athletic Director/ Principal General Job Description:

To assist administration, students, teachers, staff, parents, and visitors in any way necessary, with maximum attention devoted to relieving the principal.

Essential Duties and Responsibilities:

1. Work cooperatively with colleagues, supervisors, and administrators.

2. Demonstrate ethical behavior.

3. Engage in self-development.

4. Follow district policies and administrative rules and regulations.

5. Maintain behavior appropriate to performing and accomplishing assigned tasks.

6. Know what to do to successfully complete assigned work.

7. Project an over-all concern for personal appearance as it relates to job performance.

8. Complete and forwards telephone messages.

9. Check students in and out of school through proper procedures.

10. Filing, typing, word processing, photo copying, and correspondence.

11. Enroll or withdraw students.

12. Greet and direct all visitors.

13. Maintain confidentiality.

14. Complete and forward reports.

15. Process and complete purchase order activities. This includes issuing purchase orders, receiving purchase orders, and forwarding all invoices to accounts payable.

16. Write receipts, collect and receipt monies.

17. Process bus transportation requests.

18. Make deposits and enter on the computer.

19. Assist with surveys as needed.

20. Process student insurance.

21. Order and distribute supplies, textbooks, equipment, software, etc., as needed.

22. Assist with textbook inventory.

23. Complete 20-day reports.

24. Send cumulative folder to receiving school or to Central Office.

25. Collect and forward timesheets.

26. Assist with and report file drills and storm drills.

27. Collect bad checks.

28. Process out of district transfer forms.

29. Control visitor passes.

30. Balance and maintain all accounts.

31. Handle information that is confidential regarding personnel and labor relations issues.

Additional Duties and Responsibilities:

1. Assist with carnivals, open houses, work orders, and fundraisers.

2. Run errands.

3. Tend to injuries/illness in the absence of the school nurse or until the nurse can take over.

4. Administer medications following established District policy and procedures and guidelines including but not limited to a signed parental/guardian medication form.

5. Complete and maintain accurate school inventory.

6. Report student/employee accidents according to District guidelines.

7. Call substitutes as needed.

8. Process and maintain current emergency information for all students.

9. Take precautions to protect equipment, materials, and facilities.

10. Other tasks as may be deemed appropriate and necessary by the immediate supervisor, the principal and/or the Superintendent.

Qualifications:

1. High School diploma or GED.

2. Experience as a secretary or equivalent.

3. Demonstrated knowledge of basic office procedures.

4. Demonstrated knowledge and skill of computer function and operation.

5. Valid New Mexico driver's license.

6. Such alternatives to the above qualifications as the Superintendent may find appropriate and acceptable.

Physical Requirements:

Sitting, standing, lifting, and carrying (up to 50 pounds), climbing stairs, reaching, squatting, kneeling, moving light furniture may be required.

Equipment/Material Handled:

Must know how to properly operate, or be willing to learn to operate, all multimedia equipment including current technology. Fax machine, laminator, book binders, paper cutters, etc.

Safety and Health:

1. Knowledge if universal hygiene precautions.

2. Use of rubber gloves relating to student injuries and illness.

3. CPR and First Aid training preferred.

Work Environment:

Must be able to work within various degrees of noise, temperature, and air quality. Job responsibilities require both inside and outside assignments. Flexibility and patience are required. Must be self-motivated and able to complete job assignments without direct supervision. After hours work may be required. Must be able to work under stressful conditions.
