Full-time, 12-month position. Responsibilities Compose, review, and process confidential correspondence and communications in English and Spanish on behalf of the Building Administration. Prepare, translate, and process letters, notices, forms, and other written communications in English and Spanish. Maintain and update My Learning Plan records for conferences, professional development, workshops, and in-service activities. Coordinate building-level purchasing activities, including preparing purchase requisitions, tracking purchase orders, maintaining procurement records, and communicating with the District Business Office and vendors. Assist with scheduling teacher observations and maintaining building calendars, meetings, and appointments. Maintain and audit student records in PowerSchool and other District information systems to ensure accuracy and compliance with District, State, and Federal reporting requirements. Assist with coordinating teacher and teaching assistant schedules, including summer school assignments. Provide administrative and clerical support to the Building Administration to support daily school operations. Respond to telephone and in-person inquiries from students, parents, staff, and community members in both English and Spanish. Perform general office duties including filing, scanning, photocopying, data entry, record management, and document preparation. Perform other related duties as assigned.NOTE:
This is a provisional Civil Service appointment. The successful candidate must apply for and participate in the next available Suffolk County Civil Service examination for this title. Permanent appointment is subject to Civil Service Law and Suffolk County Civil Service Rules. Civil Service Title Senior Office Assistant- Spanish Speaking Job Qualifications Qualifications Ability to communicate fluently in English and Spanish, both verbally and in writing. Graduation from high school or possession of a high school equivalency diploma. Meets the minimum qualifications established by the Suffolk County Department of Civil Service for the title of Senior Office Assistant
