Job Summary:
The Administrative Assistant to Elementary School Principal(s) provides administrative support for a school office by managing clerical tasks, coordinating daily operations, and serving as the main point of contact for students, staff, parents, and visitors. Supports school leadership with scheduling, communication, recordkeeping, budgeting, and office workflow while maintaining confidential records and ensuring efficient front office operations.
Primary Duties and Responsibilities:
Performs clerical duties such as answering the phone; opening and distributing mail; scheduling appointments/interviews; typing correspondence, meeting agendas, and memos; filing; faxing; etc. Accountable for coordinating and prioritizing workflow through the main office under the guidance and direction of the principal and/or assistant principal. Acts as a facilitator when addressing concerns by maintaining knowledge of school policies, procedures, curriculum, and extracurricular activities. Serves as receptionist by answering telephones, relaying messages, controlling the intercom system, greeting and directing visitors, and monitoring building entry through the remote system. Is responsible for the flow of paperwork related to daily disciplinary actions and student communication through principal and/or teacher referrals. Assists the principal in the scheduling and communication of all correspondence. Coordinate purchase orders through the financial system (CSIU) and communicate this information with the district office. Handles incoming and outgoing mail for elementary school, including retrieving, sorting, and distributing accordingly. Maintains communication with teachers, parents, staff, and students, providing support as needed. Maintain confidential student and staff records, entering all personal and test data as necessary. Oversee the training and maintenance of new employees and volunteers on office equipment as appropriate. Maintains the staff absence system (Frontline) for reporting absences and coordinating daily substitutes for the building, including providing a welcome portfolio. Attends and participates in all required professional development and meetings as necessary. Works closely with custodial staff to ensure proper maintenance and safety of the building. Tracks the building budget and ordering of supplies as per the principal's directs (unique to specific positions). Handles daily paperwork flow and recordkeeping through the student information system (PowerSchool) and student cumulative folders. Covers the nurse's suite during lunch, as needed. Updates rosters for new classes throughout the year and enters all test scores and attendance records for students and staff. Handles communication for monthly events to parents, weekly bulletin, and daily communication through morning announcements. Cross training between both assistants is required to ensure the success of the office. All other duties as assigned by supervisor.
Qualifications:
High school degree, an associate degree (A.A.) or equivalent from a two-year college or technical school required Two to three years of related experience and/or training; or equivalent combination of education and experience required Bilingual preferred Submission of pre-employment medical examination (Section 148 of the PA School Code) Submission of the following clearances: PA State Criminal History Record (Act 34) PA Dept. of Public Welfare Child Abuse History Clearance (Act 151) Federal (FBI) Background Check (Act 114) Such alternatives to the above qualifications as the Board may find appropriate and acceptable Applications will be accepted until the position is filled.
