Job Description
Job Overview The Student Services Secretary provides comprehensive administrative and clerical support to the Student Services Department, including Special Education, Federal Programs, Counseling, and Related Services. This position requires strict confidentiality, strong organizational skills, and the ability to effectively communicate with students, families, staff, and outside agencies while ensuring compliance with state and federal regulations. Duties Provide clerical and administrative support to the Director of Special Education/School Principal and department staff Maintain accurate and confidential student records, including special education files in compliance with Individuals with Disabilities Education Act (IDEA) and Family Educational Rights and Privacy Act (FERPA) Schedule and coordinate meetings, including IEP (Individualized Education Program), 504, and evaluation meetings Prepare, distribute, and track required notices, invitations, and documentation for compliance timelines Enter and manage student data in the school student information systems and special education databases (e.g., IEP Writer) Serve as a point of contact for parents/guardians regarding student services inquiries Process referrals for evaluations and maintain tracking systems for timelines and compliance Assist with preparation of state and federal reporting requirements (e.g., Pennsylvania Information Management System (PIMS)) Support transportation, related services schedules, and communication with service providers Prepare purchase orders, requisitions, and maintain department budgets as assigned Support enrollment/withdrawal processes for students receiving services Answer phones, respond to emails, and greet visitors in a professional manner Create and maintain benchmark assessment scores for Federal Program usage. Perform other duties as assigned by administration
Job Specifications:
Knowledge of Pennsylvania special education regulations and timelines Strong organizational and time management skills Ability to handle confidential information with discretion Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Google Workspace) Ability to learn and utilize student information and special education software systems Excellent written and verbal communication skills Strong interpersonal skills and ability to work collaboratively with staff, parents, and outside agencies Ability to manage multiple tasks and meet deadlines in a fast-paced environment Support a shared vision within the school communityMinimum Requirements:
High School Diploma Must have a valid PA driver's license Compliance with all school policies and state/federal regulationsClearances:
Must have valid Act 34 (Criminal Record Check), Act 151 (Child Abuse History Check), and FBI (Federal Bureau of Investigation) Criminal History Check. Must also complete and submit an Arrest/Conviction Report and Certification Form as required under Pennsylvania Act 24 of 2011Equal Employment Opportunity Statement:
