Responsibilities:
Position Overview The Athletic Director oversees all middle school (grades 5-8) and high school (grades 9-12) athletic programs, ensuring compliance with WIAA standards and fostering competitive, well-organized sports experiences that align with the school's mission and values. This part-time position requires flexible scheduling including evenings, weekends, and seasonal variations based on athletic calendar demands.
Essential Responsibilities Student-Athlete Development & Academic Support :
Design and implement systemic structures that support student-athletes in balancing rigorous academic commitments with athletic participation. Establish academic eligibility standards, create monitoring systems to identify students needing support, and collaborate with academic leadership to ensure athletes thrive in the classroom. Develop programming that cultivates leadership, resilience, sportsmanship, and transferable life skills beyond sport-specific competencies.
Program Leadership & Compliance :
Maintain WIAA eligibility requirements and compliance for high school athletics. Represent the school at league meetings and cultivate partnerships with peer institutions to strengthen scheduling and competitive opportunities.
Scheduling & Logistics :
Coordinate comprehensive game and tournament schedules across all sports seasons. Secure facility reservations for home events and arrange transportation for away competitions, ensuring timely communication with coaches, families, and vendors.
Personnel Management :
Recruit, hire, train, and evaluate coaching staff for all programs. Conduct performance reviews aligned with program goals and school expectations. Serve as emergency coaching coverage when substitutes are unavailable.
Operations & Communication :
Manage athletic registration platforms, maintain accurate rosters, and oversee uniform inventory and equipment needs. Communicate regularly with families regarding schedules, policy updates, and program developments through multiple channels.
Family Engagement & Conflict Resolution :
Build positive relationships with athletic families through proactive communication and transparency. Address parent concerns and complaints professionally and promptly, conducting thorough investigations when needed and collaborating with school administration on resolution. Facilitate conversations between coaches and families to resolve conflicts while maintaining appropriate boundaries and supporting coaching decisions. Educate parents on athletic program expectations, sportsmanship standards, and appropriate channels for feedback.
Student-Athlete Conduct:
Partner with coaches and school administration to address player behavior issues, including violations of team rules, sportsmanship concerns, or academic eligibility matters. Implement progressive discipline procedures consistent with school policy. Document behavioral incidents and communicate consequences clearly to students and families. Foster a culture of accountability, respect, and personal growth among student-athletes.
Financial Stewardship :
Develop and monitor the annual athletics budget, including equipment purchases, facility rentals, official fees, and transportation costs.
Student Recruitment & Engagement :
Actively promote athletic participation among current students to expand program enrollment and build team rosters. Foster a culture that values sportsmanship, skill development, and school spirit.
Program Development & Growth :
Develop opportunities for growth within WPS Athletics programming as the student body shifts annually. In time, design and implement summer athletic programming opportunities to extend learning and generate additional revenue streams.
Game Day Management :
Attend home athletic events to supervise operations, coordinate with officials, manage student behavior and support concessions, and ensure proper facility setup and breakdown. Serve as primary on-site administrator for resolving issues and maintaining positive sportsmanship standards.
Safety & Risk Management :
Develop and maintain emergency action plans for all athletic facilities and events. Ensure coaches are trained in concussion protocols and return-to-play procedures per WIAA guidelines. Document all athletic injuries and incidents, maintaining confidential records and coordinating with families and medical professionals as needed. Conduct regular safety audits of equipment and facilities.
Facilities Oversight :
Coordinate with operations and facilities team to ensure athletic facilities, fields, and gymnasiums are properly maintained and safe for use. Establish protocols for equipment inspection, repair, and replacement. Communicate facility needs and concerns to school administration in a timely manner. Supervision & Reporting Reports directly to the Director of Student Life. Supervises all head and assistant coaches across middle school and high school programs. Collaborates with administrative team on policy development and student eligibility matters.
Qualifications Required :
Bachelor's degree; 1-2 years Coaching or athletic administration experience; knowledge of WIAA regulations; strong organizational and communication skills; valid driver's license and ability to pass background check; CPR/First Aid certification (or willingness to obtain within 60 days of hire).
Preferred :
Previous athletic director experience; familiarity with athletic management software platforms; coaching endorsement or teaching credential; established relationships within regional athletic community. Work Schedule & Compensation This is a part-time position with flexible hours averaging 20-25 hours per week, varying significantly by season. Requires regular evening and weekend availability for games, tournaments, and MS/HS league meetings. Summer programming development (extra contracted role) may extend into June-July on an as-needed basis.
Salary Range :
$35,000-$40,000 annually, commensurate with experience. Stipend opportunities available. Professional Development The school supports ongoing professional growth through funding for WIAA workshops, athletic director conferences, and relevant training opportunities. Attendance at required Athletic Director Middle School and High School league meetings is expected and supported.
