Job Description

Company Overview Fremont Community School (FCS) is an independent, non-profit educational institution dedicated to nurturing young children through a Waldorf-inspired, play-based, and nature-inspired curriculum. Since its establishment in 1986, the school has been committed to fostering a warm, community-oriented environment that supports early childhood development and learning. Job Overview We are seeking a dynamic and organized School Operations & Admissions Coordinator to join our dedicated team. The ideal candidate will be passionate about education, possess excellent communication skills, and thrive in a collaborative environment. The School Operations and Admissions Coordinator provides general clerical, operational, and administrative support to Fremont Community School's Orchard preschool program and Sycamore Childcare center, as assigned. This position assists with marketing and development, preschool admissions process, family communication, coordination of family and special events, and supports communication and coordination among staff, families, and the broader FCS community. The School Operations and Admissions Coordinator works proactively and collaboratively to ensure smooth day-to-day school operations, promotes and supports the mission and strategic plan of FCS, and serves as a key liaison between Orchard families and administration. Essential Responsibilities Provide administrative and clerical support to the administrative team, teachers, and families. Professionally interact with all school constituents by answering and prioritizing telephone calls and emails, greeting visitors, and referring inquiries to the appropriate person as necessary. Manage general office duties including filing, data entry, scheduling, photocopying, and maintaining supplies. Ensure proficiency in operational procedures and assess opportunities for process improvement. Support and maintain marketing strategies to support school wide enrollment, community engagement, and program retention. Update and maintain the school's website and social media presence. Provide Board, Committee, and Family Association support, including preparing materials and completing board meeting minutes. Assist families throughout the admissions process, including enrollment documents and submission of required information through the school's cloud-based administrative site. Maintain and update the school's cloud-based administrative system for applications, waitlists, enrollments, forms, and parent/child records. Conduct daily monitoring of signups, waitlists, and system updates to ensure accuracy. Utilize cloud-based applications to access, track, and maintain school information and records. Maintain open and cooperative communication between parents and staff, including sharing student/family updates, newsletters, teacher communications, class information, school events, and parent meetings. Assist with coordinating, communicating, and attending school festivals and outreach events, as needed. Provide support for teaching staff and families to promote a positive, inclusive, and collaborative school environment. Prepare and serve daily snacks at Orchard preschool in accordance with school guidelines and dietary needs. Coordinate with teaching staff to provide classroom coverage and support when needed, including assisting teachers in classrooms and providing staff breaks. Ensure the safety and security of children and school grounds at all times. Assist with maintaining the care and appearance of school grounds, buildings, and classrooms, and promptly communicate any maintenance or repair needs. Assist with inventory management and supply ordering for administration, kitchen, maintenance, and classrooms. Attend and participate in staff meetings, in-service training's, and professional development activities. Communicate any questions, concerns, or observations to management and teachers to ensure smooth daily operations.
Requirements Education:
AA Degree preferred, (upon hire - obtain Food Handler's Permit; Bloodborne Pathogens Training; CPR/First Aid; Safe Sleep)
Experience :
Two years of experience in an administrative office support setting or an equivalent combination of education or experience in the following areas-working with office procedures, systems, and equipment, working in a school or childcare center office, knowledge of non profit marketing and development strategies.
Additional Qualifications:
Demonstrated computer experience and proficiency with Google suite, Squarespace, and willingness to learn new software. Database management experience. Excellent oral and written communication skills including ability with proofing materials. Demonstrated organizational, interpersonal problem-solving, and judgment skills. Ability to recognize sensitive areas, exercise discretion, maintain patience, exude warmth, and maintain confidentiality. Detail-oriented, organized, self-motivated, able to work independently, prioritize, meet deadlines and step in where needed with little direction. Ability to direct parents and visitors to appropriate channels for communication as necessary (i.e., pedagogical, administrative, or financial issues). Experience with marketing and website management. Experience working with people of diverse backgrounds and a demonstrated commitment to diversity, cultural relevancy, and inclusion. Ability to interpret and implement policies and procedures. Flexibility to assist and support two sites, as needed. Ability to maintain a positive attitude and professional demeanor at all times. Ability to communicate clearly, positively, and openly with children and their families, staff, board members, and other FCS community members. Excellent punctuality and reliability. Knowledge of Waldorf Education or willingness to learn and support. Working in a school or childcare center office. Knowledge of non profit marketing and development strategies. Able to lift 45 lbs. Able to regularly sit, stand, squat, walk, climb stairs, twist bend, kneel, reach, crawl, work above shoulders, lift, carry, push and pull. $28.00 - $31.00 per hour
