9400 Overview The Department of Physics in the College of Sciences and Mathematics is hiring for an Administrative Support Associate to provide varied administrative and general clerical support for the department. Responsibilities Receptionist for the Department of Physics office: Answers the main phone line and greets guests, faculty, staff, and students. Clerical support for the department which includes but is not limited to data gathering and management, correspondence, filing, calendar management, event scheduling, mail distributions, website maintenance and purchasing/ordering supplies. Prepares and reviews payroll processing, monthly purchasing card reconciliation, travel/expense vouchers, invoices, purchase orders and other transactions for the department in compliance with approved budgets and university and department policy. Coordination of departmental events and recruitment activities. As an academic position, duties may also include but are not limited to scheduling classrooms, entering course information into AU student scheduling system, contacting bookstores concerning textbooks. Assist in completing student prerequisite overrides, distribution of semester course order, and collection of semester syllabi and final grades from faculty. Advises faculty, staff, and students of standard policies and procedures, and acts as a liaison to purchasing or vendor/outside agencies, other departments, and students on behalf of manager, director, or department headQualifications Level I:
High School Diploma or GED and 2 years of experience in clerical and administrative support services.Level II:
High School Diploma or GED and 4 years of experience in clerical and administrative support services.SUBSTITUTIONS ALLOWED FOR EXPERIENCE
