Administration Hoag Health System - 4.0 Newport Beach, CA Job Details Full-time 22 hours ago Qualifications Administrative experience Full Job Description The Foundation Specialist is responsible for advancing the Hoag Hospital Foundation's mission through the planning, coordination, and implementation of assignments in collaboration with internal and external partners to achieve overall Foundation goals. The specialist specializes in overseeing projects, focusing on coordinating and facilitating operations for both internal and external stakeholders. With a strong emphasis on organization, meticulous planning, and attention to detail, this role ensures streamlined processes and fosters effective communication among team members. The specialist ensures a standard of excellence in service delivery to staff, donors, volunteers, and both internal and external stakeholders, nurturing strong relationships and trust.
Key responsibilities include:
Actively contributing to the strategic planning process, ensuring alignment with organizational goals and initiatives. Executing various projects assigned by supervisor, including developing presentation decks, talking points, meeting agendas, and departmental reports. Serves as a strategic liaison across the organization advancing the progress of our organizational goals and initiatives by creating efficiencies, proactively developing solutions and maximizing interdependent relationships across departments Facilitating small-scale events, from strategic pre-event planning to post-event analysis of Return on Investment (ROI), ensuring successful outcomes Manage and analyze donor information within internal systems including SalesForce, as related to specific department/area. Maintains a working knowledge of departmental standard operating procedures Other duties as assigned.
Development Dept:
Enhances fundraising programs by leveraging data analysis and trend tracking to inform strategies. They conduct donor research, manage prospect activities, and perform gift analysis and segmentation to support targeted outreach efforts. Additionally, they assist in stewardship meetings and oversee project priorities and the cultivation of fundraising prospects.
Donor Relations Dept:
Supports the team across all areas including event support, donor stewardship and recognition, and strategic engagement. The role includes analyzing event outcomes to improve future initiatives and managing the scheduling and coordination of strategic meetings. Encompasses the development and implementation of donor stewardship strategies. The position requires proactive management and optimization of projects.
Advancement Services Dept:
Manages detailed project lifecycles, including scope, timeline, budget, and resources, while coordinating cross-functional teams to align with strategic goals. They support the Executive Director in maintaining the project roadmap and managing small to moderate projects, contributing to the creation of project management frameworks and documentation.
Benefactor Dept:
Working closely with the VP, Benefactor Relations, this position collaborates across the Benefactor Team and with Hoag's highest-level donors to support inquiries, appointments, referrals, and strategic initiatives that enhance operational efficiency. Serving as the central point of coordination, this role ensures seamless communication and alignment across team members to deliver a consistent, high-touch experience that supports donor cultivation and stewardship. The Foundation Specialist will also manage timelines, track progress on key projects, and proactively identify opportunities to improve processes, ensuring a cohesive and well-orchestrated benefactor engagement strategy. Bachelor's Degree or equivalent experience Minimum five years of professional and/or administrative experience Microsoft Suite knowledge (Word, Excel, PowerPoint, Teams, Outlook) Canva knowledge Salesforce or equivalent database knowledge
