Position Summary:
This position provides support to both the Campus Life Office and the Campus Ministries Office. Physical time in the offices will be roughly equal between each office, but may vary seasonally. Support for the Campus Life Office includes coordinating and planning key events, programs, and providing administrative services. Support for the Campus Ministries Office includes coordinating chapel administration, and providing administrative support to the Campus Pastor.
Qualifications:
Position requires a BA/BS degree and at least one year of experience working with students in higher education or ministry contexts.

personal affirmation of the Christian mission of Westmont College, and the Community Life Statement including adherence to its behavioral expectations; understands and supports the mission of the college as well as the Campus Life and Campus Ministries Offices; ability to manage details and prioritize multiple tasks for active departments; exhibits excellent written, interpersonal and verbal communication skills and can relate well with students, parents, faculty, staff, and public; evidences organizational skills and ability to work independently with minimal supervision; possesses a highly developed sense of discretion and confidentiality. Position requires a self-starter that can anticipate needs, work alone, and problem-solve. Intermediate skills utilizing MS Office Suite is required and experience working with websites and digital media is desired. Responsibilities Chapel Logistics and Attendance (40%) Works collaboratively with Campus Ministries Office staff and other campus offices to prepare, communicate, and coordinate various elements of all regular and special chapels on Mondays, Wednesdays, and Fridays of the academic year (e.g., announcement slides, media release forms, communion servers, etc.). Makes arrangements for chapel speakers including coordinating all communications and logistics involved in hosting their visit (e.g. initial invitations, contractual fulfillment, travel and lodging arrangements, expense reimbursement, honorarium, itinerary, and hospitality). Hires and manages student employees for chapel greeters. Assists the Campus Pastor and staff in the planning of chapel schedule and services including maintaining the Chapel calendar in SalesForce. Makes arrangements for and coordinates elective, special, and departmental chapels ensuring attendance is taken. Establishes, maintains, and updates computerized Chapel Attendance Program (Salesforce). Monitors student chapel attendance for the Campus Pastor's Office, and coordinates communication with students who have exceeded their allowed chapel misses, including scheduling meetings with the Campus Pastor and processing all chapel appeals. Maintains record of student chapel statuses, and coordinates meetings with the Dean of Students and Campus Pastor for students who do not meet the chapel attendance requirement and are not in good standing. Campus Life and Intercultural Programs Logistics (40%) Assist with event and program planning and communication, e.g. Leadership Lunches, Student Leader Kickoff, Training and Retreat, Year-End Celebration, and other ICP and CL programs. Help coordinate key Intercultural Programs Events such as Culture Week and the Women's DiversiTea. Assist and support directors of CL and ICP Offices and the Dean of Students with special projects. Serve as the communications board assistant scheduling meetings, updating processing payments, taking meeting minutes and other related tasks. Recruit and coordinate logistics of the 5-week Westmont Leadership Development program each spring for new students and serve as an assistant program facilitator for the program sessions. Support the Director of Campus Life with all aspects of the Spring Sing program oversight including promotion and hiring, organization, work with the student committee, show management and budgeting. Assist student groups with understanding and adhering to campus advertising guidelines and enforce campus posting policy including reviewing and approving student postings and slides. Office Support (20%) Provide clerical support such as reception, hospitality, correspondence, phones, mailings, campus posting policy, website and portal maintenance, photocopying, and calendaring for Campus Life and Campus Ministries Offices. Process invoices/purchase orders, track account and budget status and order office supplies. Work with Martin Institute to support the Capax Dei small group program, including coordinating the formation of the groups and various communication to Capax Dei leaders and participants. Employs tact, sensitivity, and discretion while serving students, faculty, staff, and parents.
