Purpose Statement:
The Admissions Assistant is vital in furthering the mission of Calvary Christian Academy by supporting the Admissions Department and serving as one of the primary points of contact for prospective families, alongside other Admissions team members.
Scope:
The Admissions Assistant is responsible for assisting with daily communications, application processing, and testing coordination, while helping to ensure a kind, godly, welcoming, and efficient experience for all families engaging with the school.
Specific Responsibilities:
Frontline Communication & Family Engagement Field incoming admissions-related phone calls and provide accurate, timely information regarding the admissions process. Monitor and respond to emails received through the Admissions inbox in a professional and courteous manner. Provide general guidance to prospective families regarding application steps, requirements, and timelines. Welcome and assist prospective families during campus visits, testing appointments, and other admissions-related interactions. Admissions Process Support Support Admissions Coordinators and other team members with application processing and follow-up as needed. Coordinate one assigned grade level throughout the admissions process, from initial inquiry to enrollment, with the potential for additional grade levels as needed. Maintain accurate and up-to-date applicant notes within the school's enrollment management system. Assist in tracking application progress and ensuring all required documents are received and processed in a timely manner. Testing Coordination Support Serve as a point of contact for families during on-campus testing, ensuring a smooth and organized experience. Provide logistical and administrative support for testing as directed by the Testing Coordinator. Assist with creating calendar invites, communication, and potential follow-up related to student testing. Team Collaboration & Administrative Support Work collaboratively with the Admissions team to ensure consistent communication and alignment in processes. Assist as needed with admissions events such as open houses, tours, and information sessions.
Additional Responsibilities:
Maintain confidentiality of all student and family information. Demonstrate godliness, professionalism, and a commitment to excellent customer service in all interactions. Represent the school's Christ-centered mission and values in all communications and engagements. Perform other duties as assigned to support the Admissions Manager.

Work Schedule:
Monday-Friday 7:30 a.m.-4:00 p.m. Full time (40 hours/week); however, incumbents may be required to work an evening or weekend day to attend a CCA event, or assist with a special project or during the height of enrollment season.
