POSITION SUMMARY DESCRIPTION
The Director of Admissions is responsible for leading and managing the admissions process. The Director of Admissions is responsible for attracting and recruiting prospective students, developing and implementing recruitment plans, and ensuring a seamless and positive experience for prospective students and their families. The Director of Admissions collaborates with other departments including marketing, advancement, and academics.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Strategic Planning and Enrollment Management:
Develop and implement comprehensive admissions, recruitment, and enrollment strategies to meet enrollment targets. Analyze market trends, competitor activities, and internal data to inform strategic decisions. Set admission criteria and standards in collaboration with leadership. Forecast enrollment numbers and develop contingency plans. Forecast enrollment and provide regular enrollment projections, reports, and updates to school leadership. Oversee the development and management of the admissions budget. Develop and maintain admissions policies, procedures, timelines, workflows, and communication plans.
Recruitment and Outreach:
Design and execute targeted outreach campaigns (e.g., digital marketing, school events, external school events). Coordinate and attend recruitment events, such as school fairs, visits to other schools, host visits from other schools, and open houses. Cultivate relationships with prospective students, families, school counselors, community organizations, and alumni. Develop strategies to convert inquiries and applicants into enrolled students. Coordinate student ambassadors and other campus representatives participating in admissions and recruitment activities.
Admissions Operation and Application Management:
Manage the full admissions lifecycle from initial inquiry through application, review, acceptance, and enrollment. Establish and oversee the process for evaluating applications, including reviewing academic transcripts, test scores, recommendations, academic and behavior history, and other admissions materials Lead or participate in admissions committee meetings to make acceptance, rejection, or waitlist decisions. Ensure compliance with all relevant admissions policies, laws, and regulations. May interview applicants. Communicate admissions decisions and next steps to families. Coordinate with academic leadership and student-support personnel when additional review of an applicant is necessary.
Marketing and Communication:
Collaborate with marketing and communications functions to create compelling promotional materials (e.g., brochures, website content, social media). Ensure consistent and professional messaging about admissions requirements, tuition, financial aid, enrollment processes, school programs, and student experience. Maintain timely and effective communication with prospective students throughout the admissions funnel. Identify marketing and communication needs based on enrollment trends and recruitment priorities.
Data Analysis and Reporting:
Collect, analyze, and interpret data related to applications, admissions, and enrollment. Prepare regular reports on recruitment progress, trends, and outcomes for executive leadership. Use data to identify areas for improvement and adjust recruitment strategies. Track enrollment performance by grade level, applicant stage, new versus returning students, and other relevant metrics.
Collaboration and Liaison:
Collaborate with academic departments to understand program offerings and answer student questions. Serve as a liaison between the admissions office and other internal and external stakeholders. Develop clear departmental handoffs and workflows to reduce duplication and ensure accountability throughout the enrollment process. Admissions Technology, CRM, and Systems Administration Serve as the primary administrator and operational lead for the school's admissions and enrollment management system, including Finalsite Enrollment. Maintain accurate applicant, enrollment, and family data and troubleshoot system and workflow issues. Coordinate integrations and data flow between admissions systems and other school platforms, including Finalsite CMS, PowerSchool, and other applicable systems. Develop automated communication and workflow triggers throughout the admissions funnel. Maintain documentation and procedures to support continuity of admissions systems and processes.
Financial Aid, Scholarships, and Tuition Assistance:
Administer and coordinate the school's financial aid and tuition assistance process in partnership with the Chief Financial Officer. Manage financial aid applications and family information through FACTS Grant & Aid. Review financial need information and assist in determining institutional financial aid awards within established school guidelines and available funding. Calculate and apply institutional scholarships, discounts, and financial aid while ensuring compliance with school award policies and maximum funding limits. Communicate financial aid decisions, award adjustments, tuition obligations, and next steps to families. Assist families in understanding financial aid, scholarships, discounts, enrollment costs, and payment expectations. Coordinate external scholarship awards and funding with families, scholarship organizations, and internal business-office personnel. Maintain accurate records of financial aid awards, scholarships, discounts, and related enrollment impacts. Collaborate with the Business Office/CFO regarding financial holds, payment arrangements, enrollment eligibility, and financial circumstances affecting enrollment.
Enrollment and Re-Enrollment Management:
Oversee enrollment and re-enrollment processes, timelines, communications, and completion tracking. Monitor enrollment contracts, deposits, required documentation, financial holds, and outstanding enrollment requirements. Work with families to resolve barriers preventing completion of enrollment. Coordinate with the Business Office and other departments regarding student enrollment status and eligibility to begin or continue attendance. Track returning student enrollment, withdrawals, non-returning students, and outstanding re-enrollment decisions. Support retention efforts and identify enrollment risks that may affect overall student count. Other duties as assigned.
QUALIFICATIONS
Must be proficient using a Mac and/or MacBook Must be proficient in Google Workspace (e.g., GMail, Google Drive, Google Meet) Highly organized, detail-oriented, and able to manage multiple projects simultaneously. Great people skills - is liked and respected. Excellent planning skills - organized; communicates; follows through; evaluates. Ability to manage multiple projects simultaneously and to adapt to changing environments and priorities. Strong interpersonal, organizational, networking, facilitation and management skills. Work both independently and within a team-oriented structure. A self-starter with the ability to work productively and meet benchmarks and goals timely and without days-to-day supervision. Strong verbal and written communication skills, including public speaking, negotiations and effective communication with diverse audiences, including the ability to speak persuasively. Exercise good judgment and decision making. Has the ability to work well under pressure and the ability to reason, think creatively, and solve problems. Requires some work on weekends and evenings. Must have a valid driver's license. Position requires absolute confidentiality and professionalism in appearance, attitude, and presentation.
EDUCATION & EXPERIENCE
Bachelor's degree in an administration-related field of study preferred. A bachelor's degree with relevant experience may be considered. Minimum of 3 years of admissions leadership experience with a proven track record of success including designing and implementing admissions-related policies and campaigns.
WORK SCHEDULE
School hours are M-F 7:30am-4:00pm. Hours can be flexible based on activities/events. Some weekend and evening hours.
