Mission & Vision | Carle Illinois College of Medicine | Illinois Highlights of Benefits for University of Illinois Employees Position Summary The Associate Director of Admissions provides operational leadership and oversight for the overall admissions process with primary responsibility for admissions related technological systems and processes, management of communication programs for prospective students, and operational administration of the joint degree programs. The Associate Director also oversees and supports recruitment efforts, supervises recruitment staff, and leads special projects as assigned. This position reports to the Director of Admissions. Duties and Responsibilities Admissions Infrastructure & Administration Serve as a senior leader on the Admissions Team and support the Director of Admissions in implementing all aspects of the admissions and recruitment plan. Develop robust reports using current and closed cycle data to inform strategy and continuous quality improvement initiatives. Lead and manage multiple continuous quality improvement projects related to the application process and recruitment strategy. Serve as the primary lead for all admissions-related technology systems, including third-party vendor software. Manage all aspects of the application review process including training screeners and finalists, coordinating the review workflows for all applications in Slate, oversee the finalist list, and release all admissions decisions. Serve as primary point of contact for MD/PhD and joint degree program admissions. Lead the operational oversight of the admissions team. This includes overseeing training for the Admissions Committee, Admission Screeners and Finalist Reviewers. Recruitment & Yield Oversight Oversee the development and implementation of data-driven recruitment and yield strategies. Oversee the planning and implementation of on-campus and virtual events for applicants and admitted students. Advise prospective and accepted students through the application process. Supervise recruitment staff, including assigning and overseeing work, providing guidance and coaching, supporting professional development, and completing performance management responsibilities. Policy In collaboration with the Director of Admissions, oversee and interpret admissions policies to ensure compliance with university and LCME standards. Serve as liaison with Legal Counsel and DRES (disability services) for compliance and accommodations. Other Perform other duties as assigned. Establish and maintain effective working relationships; work cooperatively and collegially with others in a manner consistent with a workplace of dignity and respect; support and engage in equal employment opportunity principles, rules, and regulations. Occasional travel and evening/weekend work may be required to support recruitment, admissions, and applicant or admitted-student events. Qualifications Minimum Qualifications Bachelor's degree in business, communication, education, humanities, public relations, social sciences, or closely related field. Three (3) years (36 months) of professional work experience in admissions, records, registration, and/or closely related experience within an educational setting. Demonstrated experience with data metrics and reporting. Preferred Qualifications Master's degree. Experience working within a professional school or medical school setting. Experience working with Slate database systems.
Knowledge, Skills and Abilities:
Knowledge of student and patient privacy regulations (FERPA, HIPAA, etc.). Ability to manage and optimize admissions technology systems (e.g., Slate, AMCAS, third-party software) and generate data-driven reports. Strong project management and organizational skills, with the ability to oversee multiple initiatives simultaneously. Supervisory and leadership skills, including training and mentoring staff and committee members. Strong interpersonal and communication skills, incorporating tact, diplomacy, and the ability to collaborate effectively with stakeholders. Ability to design, implement, and evaluate recruitment and yield strategies using data metrics. Commitment to continuous quality improvement and strategic alignment with institutional goals. Willingness to learn and adhere to university policies related to recruitment and admissions, as well as LCME standards. Appointment Information This is a 100% full-time Civil Service 2753 - Admissions and Records Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close date. The budgeted salary range for this position is $75,000 - $90,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. This position is eligible for sponsorship for work authorization, except for sponsorship of a new H1B petition that would incur the $100,000 fee.
