Primary Purpose of Position The Program Associate primarily supports the Associate Deans for Academic Affairs, Student Affairs, and Faculty Affairs, while also providing assistance to the Director of Assessment and Accreditation and the Director of Student Professional Development and Employer Relations. This role is responsible for a wide range of administrative and operational functions, including office management, budget and supplies oversight, travel coordination, website updates, meeting scheduling and preparation, technological communications, surveys, and data system management. The incumbent also helps manage technical processing functions at the college level and carries out advanced day-to-day operational activities as needed. The Program Associate plays a key role in fostering teamwork, planning and executing events, and monitoring project progress to ensure timely, accurate, and professional completion. Success in this role requires strong leadership, independent judgment, and organizational skills. Serving as a first point of contact for the Dean's Office, the incumbent is an integral member of the college's administrative team, supporting staff as needed, assisting with onboarding and process development for new employees, and contributing to external relations and special event planning in collaboration with Alumni Affairs.
Minimum Education/Experience Required Minimum Qualifications:
Bachelor's degree, or equivalent combination of education and experience. All degrees must be received from appropriately accredited institutions.

Essential Job Duties Handles scheduling and prepares materials for student and faculty-related meetings for the Associate Dean of Academic Affairs and the Associate Dean for Faculty Affairs. Handles all logistics associated with meetings. Ensures meetings run smoothly (catering arrives, rooms are open, etc.). Records and files notes, minutes, and follow-up communications. Prepares participant materials, organizing campus tours; coordinating meeting spaces, arranging catering. Handles all logistics associated with special events, Answers phones and assists faculty, administrators, donors, campus units, students, etc, with questions regarding the college of engineering, including program mission, policies and procedures, and technical issues. Understands the college programs and university policies and procedures and communicates with diverse constituencies. Contact other departments for problem resolution: Prepare travel documents. Respond to students and faculty who wish to see the Dean or the Associate Dean. Work with deans, chairs, staff, students, university offices, and off-campus stakeholders. Adapt to interruptions in workflow, stopping to listen to the needs of students, faculty, and staff. Understand and articulate the college mission, model, and policies to constituent groups. Understands student concerns and communicates regularly with them. Other Work Responsibilities Prepares meeting announcements, letters, memos, etc. Prepares thank you letters/cards, congratulations, and sympathy cards on behalf of the Dean and the Associate Dean. Proofreads for Dean and Associate Dean for college newsletters, invitations, exams for students, etc. Fulfills development mailing and email list requests. Responsible for developing and editing all major Institute communications materials, including website content, marketing materials, budget experience, college press releases, PowerPoint presentations, and internal communications within the college. Departmental Preferred Experience, Skills, Training/Education Supporting office operations in a university or professional environment Experience planning conferences, workshops, seminars, or campus events, including managing event timelines and budgets Experience arranging domestic and/or international travel and following travel policies governing documentation and expenses Strong written and verbal communication skills as well as experience in MS Office and Google.
