Description Performs a full range of secretarial duties at a senior level for the administrative staff in the Office of Alumni Affairs. Responsibilities include, but are not limited to:
Assist with alumni volunteer programs
Maintain and update databases with alumni contact information and records of involvement
Coordinate on- and off-campus events, including room scheduling and catering planning
Schedule appointments for the Executive Director, type correspondence, maintains files and responds to inquiries
Collects and organizes applications for Alumni Affinity group scholarships
Produces reports (using Access/Excel and/of Raiser's Edge) for alumni affinity group and departmental events
Process marketplace (event registration) orders
Fields calls and greets visitors for the Office for Development and Alumni Affairs, handling their inquiries and sorts and distributes incoming mail and other materials and interacts with alumni in person, by telephone, and via email
Reviews budget/finance related paperwork related to alumni affinity group accounts
Maintains records for alumni affairs staff including check requests, travel and advance forms, and travel expense reports
Assist with web research and development
Manage bulk mailings
Work some evenings and weekends for special events throughout the year
Perform other related duties requiring similar skills and responsibilities, as needed Qualifications Proficiency using Microsoft Office, including Access and Excel required.
Must possess strong verbal and written communication skills.
Must be detail oriented, organized, and able to multitask efficiently.
Work well with other group members in a team environment and provide superior customer service.
Ability to work in a fast-paced, deadline driven environment.
Ability to handle data entry, mail merges, and tables.
