Resume Cover letter References (minimum of three) Purpose of Position The Stewardship Coordinator supports donor engagement, stewardship, and community-building efforts for UTA Libraries. Reporting to the Director of Engagement and Impact, this position plays a key role in cultivating and retaining Friends of the Libraries and other library supporters through organized stewardship processes, communications, and events. Essential Functions Library Stewardship Operations Coordinate the Libraries' stewardship activities to ensure donors receive timely, accurate, and meaningful acknowledgments in alignment with institutional guidelines. Track stewardship actions such as thank-you letters, engagement touchpoints, event participation, and communications to support consistent donor experiences. Assist in developing and refining stewardship workflows, timelines, and documentation to ensure best practices are followed across Libraries engagement activities. Friends and Donor Engagement Provide comprehensive logistical support for Friends of the Libraries and Libraries Advisory Council events including - coordination tasks such as catering, space setup, vendor communication, invitation tracking, RSVPs, attendance, and post-event follow-up. Support initiatives designed to strengthen Friends membership, improve retention, and build long-term affinity for the Libraries. Donor & Constituent Communications Coordinate and produce Friends of the Libraries newsletters and other donor-facing communications in collaboration with Libraries staff. Assist with drafting donor-facing messages, event invitations, acknowledgments, and informational updates highlighting Libraries programs, collections, and impact. Coordinate with Libraries Engagement & Impact staff to ensure consistent messaging and branding. Administrative & Collaborative Support Serve as a key liaison between the Libraries and UTA's Development & Alumni Relations (DAR) on stewardship-related matters, ensuring alignment on acknowledgment timing, reporting requirements, and donor data practices. Partner with Assessment Librarian to support data collection and impact reporting related to donor engagement, event participation, and stewardship outcomes. Assist with budget tracking and expense documentation related to engagement and stewardship activities. Performs other duties as assigned. Required Qualifications Bachelor's degree in Strategic Communications, Public Relations, Marketing, Hospitality Management, or related field and a minimum of three (3) years of experience in stewardship, donor relations, alumni relations, engagement, communications, or event coordination. Or seven (7) years of an equivalent combination of education or experience. Preferred Qualifications Experience supporting advancement or stewardship functions in a university setting. Familiarity with Blackbaud Raiser's Edge or similar CRM systems used in higher education advancement. Experience producing newsletters or donor communications. Event planning experience in a complex institutional setting. Knowledge, Skills & Abilities Excellent communication and interpersonal skills with the ability to interact professionally with individuals at all levels of the organization. Ability to work collegially and collaboratively with people of different backgrounds in a team-based environment. Strong organizational and time management skills with the ability to prioritize and manage multiple tasks effectively. Ability to analyze situations and make sound decisions.
Proficiency with Microsoft Office products:
Word, Excel, Outlook, Teams, OneDrive/SharePoint, and other common office software. Work Schedule Monday through Friday; 8:00am through 5:00pm Flexibility is required to ensure the department is appropriately staffed in order to satisfy all service needs.
