M-Fri 8:30am-4:30pm; Summer M-Thur 8am-5pm Requisition Number Position Goals The External Resources Development Assistant reports directly to the Foundation & External Resources Administrator and provides administrative and operational support to the Foundation & Alumni Relations Office, including scholarships, alumni relations, donor engagement, and fundraising initiatives. This role supports the College's tradition of academic excellence and student success benefiting the citizens of Camden County and beyond. Job Description
  • Serve as a primary customer service representative for the Foundation and Alumni Relations Office.
  • Demonstrate the ability to work effectively with individuals from diverse racial, ethnic, and socioeconomic backgrounds.
  • Assist with donor correspondence, gift acknowledgments, and stewardship communications.
  • Support donor and gift management through QuickBooks and Raiser's Edge, including data entry, contribution tracking, reporting, and maintenance of accurate records.
  • Assist with scholarship administration through the scholarship platform, including data entry, application tracking, applicant communications, and reporting.
  • Coordinate logistics for alumni programs, networking opportunities, and engagement activities in collaboration with Foundation and College partners.
  • Serve as the liaison to the Alumni Advisory Board, including coordination of meetings, subcommittee meetings, activities, and maintenance of related records.
  • Support the planning and execution of Foundation and alumni events, including registration setup, attendee tracking, check-in support, and post-event follow-up.
  • Assist with event logistics such as vendor coordination, materials preparation, signage, and on-site support.
  • Track event participation metrics and prepare basic reports to support engagement and fundraising analysis.
  • Provide administrative support to the Foundation and External Resources Administrator, including scheduling, meeting preparation, and document management.
  • Maintain organized digital and physical files related to alumni, donors, events, and fundraising initiatives.
  • Prepare correspondence, reports, presentations, and other materials as requested.
  • Organize mailings, including proofreading letters, mail merges, printing, and envelope preparation.
  • Facilitate internal and cross-campus meetings, including drafting agendas and taking meeting minutes.
  • Support Foundation Board and committee meetings, including scheduling, preparation of materials, and recording meeting minutes.
  • Support general office operations and special projects as assigned to advance the mission of the Foundation.
Minimum Qualifications Ÿ Associate's degree required; Bachelor's degree in communications, nonprofit management, business, marketing, or a related field preferred. Ÿ Two years of administrative, nonprofit, advancement, alumni relations, event coordination, or customer service experience required; higher education or foundation experience preferred. Ÿ Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities. Ÿ Excellent written and verbal communication skills, with attention to detail and professionalism Ÿ Proficiency in Microsoft Office (Word, Excel, Outlook) and willingness to learn databases/CRM systems. Ÿ Working knowledge and experience in accounting software, QuickBooks Ÿ Working knowledge and experience in specialized donor management software, Blackbaud The Raiser's Edge Ÿ Commitment to providing exceptional, high quality customer service. Ÿ Ability to maintain confidentiality and operate with integrity in handling student and donor records.
