Job Description Germanna Community College is a public, open access institution of higher education in the Virginia Community College System. The College is a dynamic learning organization that serves as a Germanna regional leader and preferred partner where quality learning experiences enable students to participate effectively in the social, economic, political, intellectual, and cultural life of their communities. Germanna Community College is centrally located in Fredericksburg, VA between Washington D.C. and Richmond and between the Blue Ridge mountains and the Chesapeake Bay. Germanna Community College is seeking a Full-Time Assistant Registrar for Completion to lead and oversee degree conferral, graduation processes, and completion initiatives within Enrollment Services. This position plays a critical role in advancing the College's strategic priorities of Access, Momentum, and Completion by ensuring accurate student records, efficient graduation processing, and proactive identification of students eligible for completion.
The Assistant Registrar provides leadership for the Enrollment Services team at the Daniel Technology Center (DTC), supervises staff, and ensures high-quality service delivery while driving process improvements and data-informed decision-making to enhance student success outcomes. This position is primarily based on campus at the Daniel Technology Center (DTC) in Culpepper, Virginia.
Leadership & Operations
Manage daily operations of the Enrollment Services office at DTC, ensuring high standards of customer service, accuracy, and operational efficiency.
Supervise, train, and develop full-time and part-time staff, fostering a collaborative, accountable, and student-centered team environment.
Monitor workflow, set priorities, and ensure timely completion of critical enrollment and records processes.
Completion & Graduation Oversight
Lead all aspects of the graduation and degree conferral process, including degree audits, application review, and final clearance.
Run and analyze potential graduate reports to identify students eligible for completion and support proactive outreach efforts.
Develop and implement strategies to increase completion rates, including reverse transfer initiatives and process improvements.
Oversee graduation communications and maintain accurate, up-to-date information on the College's graduation website.
Systems, Records & Compliance
Oversee student records processes, including grade changes, grade repeats, and academic record maintenance, ensuring accuracy and integrity.
Partner with the Retention Assistant Registrar to manage end-of-term processes related to grade repeats and academic standing.
Leverage the Student Information System (SIS) and reporting tools to monitor completion metrics, support decision-making, and ensure data integrity.
Ensure compliance with institutional, state, and VCCS policies and maintain audit-ready documentation and procedures.
Strategic Initiatives & Collaboration
Collaborate with Deans, faculty, and cross-functional partners to support student degree completion and align academic and enrollment processes.
Represent the College in VCCS workgroups, participating in regular system meetings, training, and professional conferences (e.g., VACRAO) to remain current on best practices and policy updates.
Contribute to policy development and continuous improvement of Enrollment Services processes.
Commencement Leadership
Lead the planning and execution of commencement ceremonies, serving as Chair of the Commencement Committee and coordinating with campus and external partners.
Special Assignments May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

Excellent written and verbal communication skills and a commitment to providing high-quality customer service
Demonstrated experience managing student data within a complex Student Information System (e.g., PeopleSoft, Ellucian, Banner)
Strong analytical, organizational, and problem-solving skills with attention to detail
Demonstrated experience interpreting and ing academic and institutional policies
Minimum Experience:
Minimum of 5 years of progressive experience in a Registrar's Office, Enrollment Services, or student records environment.
At least 2 years of experience in a formal supervisory or team leadership role, with a focus on staff development and workflow management
Documented experience interpreting and ing institutional, state, or federal academic policies and maintaining audit-ready documentation
Proven experience leading large-scale projects or complex processes, such as degree audits, graduation clearance, or commencement planning
Additional Considerations Bilingual (Spanish)
Experience planning or coordinating large-scale events (e.g., commencement)
Experience in graduation processes, degree audits, and student completion initiatives
Experience engaging and working with large student populations in a higher education setting
