Job Description The Museum Services Manager is a full-time, exempt employee who oversees all aspects of the daily visitor experience. This position requires a broad understanding of the Museum's mission and the collection, and up-to-date knowledge of all upcoming visitor engagement opportunities, including exhibitions, events, and workshops. The Museum Services Manager, visitor resources and accessibility, group tours, and supervises and supports the Museum Services staff. The Museum Services Manager works closely with the Member & Donor Services Manager and other Staff as needed. Principle Duties & Responsibilities Oversee the Quality of the Visitor Experience
  • The Museum Services Manager ensures that all visitors are afforded the opportunity to enjoy our museum, engage with our collection, and access our resources. Follow museum best practices for a welcoming and inclusive museum environment. Respond quickly and appropriately to emergency situations, following museum procedures and protocol.
  • Take visitor suggestions and complaints seriously and bring them to the attention of appropriate senior staff. Take the lead on finding solutions to common issues and be proactive in encouraging Museum Services staff participation in the problem-solving process. Supervise Museum Services Staff
  • Interview, train, schedule, and supervise Museum Services staff, ensuring that all museum policies for guest interaction are met and exceeded. Update the Visitor Services Manual as required.
  • Act as an advocate for Museum Services staff, ensuring that they have the training, support, and resources necessary to excel at their position. Make recommendations to the DFO for resources that benefit the workplace environment of Museum Services staff.
  • Conduct annual reviews of individual Museum Services staff, making recommendations for improvement and acknowledging growth and instances of excellence. Work with the DFO to respond swiftly to Museum Services staff concerns, internal disputes, and disruptive workplace occurrences, up to and including written warnings and employee termination.
  • Oversee and approve Museum Services staff timekeeping. Schedule subs and offer alternative schedules as needed. The Museum Services Manager is expected to be available throughout peak Holiday season to help accommodate for Museum Services staff flex holidays.
  • The Museum Services Manager is expected to cover shifts for any unplanned absences of Museum Services staff, if no alternative can be secured. The Museum Services Manager also covers daily staff breaks, as needed. Coordinate Group Tours and Private Events
  • Schedule groups tours for a variety of groups, including adults, seniors, specialty groups and clubs, and school groups. Work with the Education Director to ensure that tours are educational and memorable.
  • Coordinate with Education the appropriate docents for tours and ensure that the Museum Services Staff have the resources they need to successfully accommodate the group.
  • Schedule private events and coordinate staff coverage. Provide site tours to prospective event clients. Work with the Facility Manager to coordinate event set-up and break-down. Coordination of Museum Event Logistics
  • Participate in the planning and development of Museum generated special events and act as Staff lead for creating related staffing and logistics plans. Oversee Museum Daily Operations
  • Oversee all opening and closing routines by Museum Services staff, ensure all protocols for museum security are met prior to exiting the building.
  • Approve register drawers, reconcile cash on hand for the next day's drawers, and prepare the day's deposit. Work closely with the Museum Finance Director to reconcile any daily sales discrepancies and account for overages and shortages.
  • Ensure that Museum Services staff have the necessary resources at the front desk to successfully do their work, which includes maintaining the supply of merchandise bags, receipt paper, gift certificates, Fairy Caitlin prizes and scavenger hunts, and any other consumable materials used daily.
  • Report any exhibit malfunctions, facility damage, or other museum systematic or technical issues to the Facility Manager. The Museum Services Manager is responsible for basic troubleshooting and correction of minor and/or common issues. Qualifications
  • Bachelor's Degree in the Arts, Museum Studies, or related field preferred, but not required
  • Exceptional people skills.
  • Exceptional writing skills.
  • 2+ years retail or customer service experience -Prior supervisor or manager experience preferred -Fluency in Spanish preferred
  • Experience with inventory reconciliation and retail POS operating systems; Computer fluency in Excel, Word, Microsoft Office 365; Blackbaud Altru experience a plus
