This role serves as the central operational hub for the company, managing daily logistics, artist relations, and event execution. The ideal candidate bridges administrative precision with live-event agility—equally comfortable managing contracts, communications, and operations. This is a freelance, contractor role, with approximate billing hours of 30 hours a month. Additional hours allotted upon approval. Key Responsibilities Live Event & Production Management Oversee on-site event logistics for galas, workshops, and special engagements. Coordinate communications, load-in/load-out schedules, front-of-house operations, and audience management. Serve as the primary point of contact for venue staff, technical directors, vendor management, and catering during events. Maintain event accessibility, safety protocols, and emergency plans. Administration & Operational Leadership Serve as the primary liaison between artistic leadership, administrative staff, and external teams. Maintain company archives, artist rosters, venue contacts, and operational documents. Assist executive leadership with operational planning, board meeting logistics, and special projects. Spearhead external partner outreach, project management, and oversee internal and external deadlines. Support hiring processes and onboarding of staff and interns. Attend regular meetings (weekly virtual and occasional monthly in-person) Oversee and coordinate with staff and intern roster. Manage email communications and calendars Organize and maintain Google Drive Create and manage spreadsheets and contact lists Assist with internal communications and project tracking via Monday.com Provide general support across departments as needed Marketing & Outreach Conduct marketing research and gather promotional materials Press outreach, oversight and organization of up to date and archival press pitch decks and external contacts. Liaise and strategize with the social media team to align company incentives and ensure continuity in public-facing branded ventures. Organize and distribute images and media from archives. Support Marketing Director in external communications and outreach.
Qualifications Experience:
3-5+ years of experience in company or general management, event production, and arts administration.
Event Expertise:
Proven track record of managing live event logistics from pre-planning through real-time execution.
Logistical Mastery:
Exceptional organizational skills with a proven ability to manage complex travel itineraries, production schedules, and multi-variable event timelines.
Communication:
Outstanding interpersonal skills; ability to manage high-stress situations with calm, clear direction.
Technical Skills:
Proficiency in project management tools (e.g., Monday.com), spreadsheet modeling (Excel/Google Sheets), and digital communication tools.
Flexibility:
