Administration, Compliance & Center Operations About the Position Here We Grow Early Learning Academy is seeking an experienced, organized and dependable Part-Time Administrative Director to help oversee the administrative and compliance operations of our childcare center. This is NOT a classroom teaching position. We are looking for a leader who already possesses an active Florida Director Credential and understands the responsibility that comes with helping operate a safe, organized, compliant and high-quality early learning center. Our ideal candidate is proactive, dependable and able to work independently. We need someone who can walk into the center, identify what needs attention, complete their responsibilities, follow through, hold staff accountable and keep the Owner informed without requiring constant reminders or micromanagement. The goal of this position is simple: keep the administrative side of the center organized, compliant and running smoothly. Administrative & Compliance Responsibilities The Administrative Director will be responsible for: Maintaining DCF licensing compliance and helping keep the center inspection-ready at all times Maintaining and auditing children's and employee files Tracking staff credentials, DCF training, annual in-service hours, CPR/First Aid, background screenings and required documentation Monitoring classroom ratios, attendance and staffing compliance Conducting routine classroom and facility compliance walkthroughs Identifying potential licensing or safety concerns and ensuring they are corrected promptly Monitoring Playground documentation, including attendance, meals, diapering/toileting, incidents and required classroom documentation Ensuring accident and incident reports are completed correctly and timely Maintaining required licensing and administrative records Preparing documentation for DCF, ELC and other regulatory visits Maintaining required VPK/ELC documentation, when applicable Ensuring health, safety, sanitation and facility requirements are consistently followed Keeping administrative deadlines, renewals and required documentation organized and current Staff Leadership & Accountability Although this is primarily an administrative position, the Director is also expected to provide leadership and accountability to the teaching team.
Responsibilities include:
Monitoring staff attendance, professionalism and compliance with center policies Addressing staff concerns professionally Coaching teachers when expectations are not being met Documenting coaching and corrective actions when necessary Ensuring teachers are following classroom procedures and center policies Helping maintain appropriate staffing and ratios Communicating important staffing concerns to the Owner Bringing solutions along with problems Following through on assigned responsibilities without repeated reminders The Director should be comfortable providing leadership while maintaining a respectful, positive and professional workplace culture. Parent Communication, Enrollment & Center Operations The Administrative Director will assist with: Professional communication with families regarding administrative matters Following up on parent concerns when appropriate Monitoring enrollment paperwork Assisting with tours and prospective-family follow-up Helping maintain enrollment and retention Ensuring new families have required documentation before starting Monitoring daily center operations during scheduled hours Completing assigned daily and weekly Director checklists Providing the Owner with clear updates regarding compliance, staffing, enrollment and center concerns Events, Family Engagement & Center Décor Here We Grow believes childcare should feel FUN, welcoming and special for our children and families. Responsibilities include:
Planning and coordinating center events, including family events, holiday celebrations, spirit weeks, graduations, teacher appreciation activities and other special occasions Being present and actively involved at required center events, including occasional events outside of the Director's regular administrative schedule Creating event themes, timelines, activity ideas and supply lists Gathering or purchasing event supplies and decorations within an Owner-approved budget Staying within the approved budget and submitting required receipts/documentation Coordinating with teachers regarding classroom participation and event preparation Ensuring events are organized and prepared in advance—not at the last minute Decorating the center for seasons, holidays, enrollment periods and special events Helping maintain attractive lobby/common areas, bulletin boards and designated center spaces Removing outdated seasonal decorations promptly Organizing and properly storing reusable event and decorating supplies Finding creative ways to make the center beautiful without unnecessary spending Creating those special "WOW!" moments that make children excited to come to school and families smile when they walk through our doors Creativity is a PLUS! Our ideal Director enjoys creating fun, colorful and welcoming environments while also understanding that all purchases must remain within an approved budget. What This Position Is NOT This is important. This position is not intended to be a full-time classroom teaching position. The Administrative Director's primary focus is: Administration Licensing Compliance Documentation Staff Accountability Enrollment Family Engagement Events Center Operations Occasional assistance during an emergency or unexpected staffing situation may be necessary in childcare; however, routine classroom coverage is not the primary responsibility of this position. We are specifically looking for someone who can use their scheduled hours effectively to complete administrative responsibilities.

Florida Director Credential Have completed required Florida DCF childcare training Meet all DCF background-screening requirements Have previous childcare administrative, Director or Assistant Director experience Have a strong understanding of Florida childcare licensing requirements Be organized and able to maintain multiple administrative deadlines Have excellent follow-through Be dependable and punctual Be able to work independently Demonstrate professional written and verbal communication Be comfortable holding employees accountable Maintain confidentiality regarding children, families and employees Have reliable transportation and attendance Be comfortable using childcare technology and electronic documentation systems Be available for occasional required center events outside of normal scheduled hours with advance notice Florida Director Credential Requirement Applicants who do not

Pay:
$18.00-$19.00/hour Starting compensation will be based on childcare administrative experience, qualifications and demonstrated ability to independently perform the responsibilities of the position. This position may occasionally require attendance at scheduled center events outside of normal working hours.
