Position Purpose:

Effectively maintains efficient operation of the Early Childhood Office by capably completing secretarial and support activities which benefit the department's educational programs.

Essential Job Functions:

Responsible for being a positive first contact person for parents and visitors. Schedule appointments and maintain calendar for Director of Early Childhood and Office. Responsible for ordering and maintaining inventory of all school supplies and equipment for all itinerant staff, process purchase requisitions and supply requests. Responsible for maintaining Early Childhood enrollment records, documentation, and attendance. Responsible for overall office management for Early Childhood Programs. Responsible for approving and submitting time sheets and leave requests, etc. Responsible for maintaining medical records, administering medication to children, and working in collaboration with school nurse. Interact with co-workers, administration, students, parents and the community in positive, supportive and cooperative ways. Regular, reliable and punctual attendance

Additional Duties:

Performs other related tasks as assigned by the Director of Special Education and other central office administrators as designated by the Superintendent.

Equipment:

Uses standard office equipment such as personal computers, printer, copy and fax machines, and telephone.

Travel Requirements:

Travels to school district buildings and professional meetings as required.

Knowledge, Skills and Abilities:

Able to learn the district's e-mail, student records, payroll, and financial systems. Excellent customer service and communication skills (verbal and written). Ability to work independently with minimal direction. Excellent organizational skills, including filing and record maintenance. Work well with all employees, parents, students and community members. Evidence of leadership ability. Respect for confidentiality of information. Able to handle diverse projects, be flexible and take initiative. Demonstrated ability to work well in high stress situations. Ability to work in an economically, culturally and racially diverse environment.

Educational Requirements:

High School Diploma or equivalent, required. Post high school education in the field of secretarial skills and procedures or three years to five years successful experience as a secretary required. Associates degree preferred.

The noise level in the work environment is usually quiet to moderate.

While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, compile information.
