Preschool Office Manager
Job Description
•This is not a teaching position. No curriculum responsibilities. No classroom supervision. We are looking for an exceptionally organized administrator to take ownership of the day-to-day operation of our preschool office. Preschool Office Manager Full-Time | $60,000-$65,000 annually We are seeking a highly organized, proactive, efficient, and tech-savvy Preschool Office & Operations Manager to oversee the day-to-day administrative operations of our preschool. This is a fast-paced, hands-on position for someone who works quickly and accurately, is very comfortable with technology, and can manage many small tasks and priorities throughout the day without losing track of details. This is not a teaching or curriculum position. We are looking for an experienced administrator who can take ownership of the office and keep things moving without requiring constant direction or follow-up. A Very Important Part of This Role Speed, efficiency, and strong computer skills are essential. Our office has a high volume of emails, forms, records, scheduling changes, parent requests, and day-to-day administrative tasks. The right person must be able to move through this work quickly, accurately, and independently . Candidates should be very comfortable using computers and learning new systems. You should be confident working with: Email and calendar systems Google Workspace, including Gmail, Docs, Sheets, and Drive Microsoft Word and Excel PDFs, scanning, electronic forms, and digital file organization Spreadsheets and basic data tracking Online portals and administrative software Learning new technology and software without extensive training We are specifically looking for someone who is resourceful with technology . When you encounter a routine computer or software issue, your first instinct should be to troubleshoot it and figure it out rather than wait for someone else to handle it. Key Responsibilities Parent & Family Administration Serve as the primary contact for routine parent questions and requests Manage day-to-day phone and email communication Send reminders, forms, calendars, and school communications Follow up promptly on missing paperwork and required documentation Maintain professional and responsive communication with families Enrollment & Records Respond promptly to prospective-family inquiries Schedule tours and visits Manage applications and enrollment paperwork Maintain enrollment records and waitlists Maintain accurate student files and required documentation Track deadlines, expirations, and missing documents Maintain attendance and other administrative records Staff Administration Maintain organized staff files and documentation Track required forms, certifications, and deadlines Maintain staff schedules Track absences and assist with coordinating coverage Communicate routine administrative information to staff Office Operations Manage the school's administrative calendar Maintain organized digital and physical filing systems Order and track supplies Coordinate routine vendors, deliveries, and service appointments Prepare, scan, edit, organize, and distribute documents Maintain spreadsheets and administrative trackers Coordinate routine school logistics Handle multiple incoming requests while keeping existing work moving Identify what needs to be done and follow through without waiting to be reminded Compliance & Tuition Support Maintain routine compliance documentation and checklists under the direction of the Director/Owner Track required paperwork and deadlines Track routine tuition/payment information and send reminders Escalate significant compliance or payment matters to the Director/Owner The Director/Owner retains primary responsibility for licensing/compliance, budgeting, financial management, recruiting, hiring/firing, and educational leadership. What Success Looks Like Within the first few months, the Office & Operations Manager should be able to independently manage the routine administrative needs of the preschool. The Director/Owner should not need to continually assign tasks, remind the Office Manager about deadlines, troubleshoot routine technology issues, or follow up to make sure administrative work has been completed. The successful person will see what needs to be done, prioritize it, complete it efficiently, and keep the Director informed of anything that actually requires their attention. Compensation $60,000-$65,000 annually , depending on experience. Full-time, on-site position.
