Job Overview We are seeking an energetic and detail-oriented Assistant to the Center Director / Administrative Assistant to join our team. In this vital role, you will support the daily operations of our school, manage administrative tasks, and ensure smooth communication between staff, parents, and visitors. Your proactive approach and organizational skills will help create a welcoming atmosphere while maintaining efficient office functions. Expectations- The Administrative Assistant is responsible for collaborating with the Administrative Team (Owner, Director, and Pedagogy Coordinator), and other staff members as they collectively support the operations of the center. Responsibilities that complement this position include, but are not limited to the following: All tasks related to opening and/or closing the building when scheduled to do so. Maintain a clean and welcoming environment at the front desk; answering phones, responding to emails and Procare messages, and greeting families/visitors as they arrive. Check Outlook calendar daily to ensure preparation and coverage for all meetings scheduled. Enter all inquiries (received by phone, email or in person) into Procare Leads. Prepare packets for Registration, Enrollment, and Employment paperwork. Track all enrollment and employment paperwork as it is received. Enter all physicals and immunizations into Procare for both children and staff. Ensure child and staff files meet DHS Licensing Requirements. Assist in scheduling meetings as needed and ensure coverage for staff to attend those meetings. Prepare orders, distribute, and track inventory of all supplies necessary to the daily functioning of the classrooms and building. Prepare and track billing forms (i.e., attendance/vacation request forms, enrollment change request forms, disenrollment forms, etc.). Includes entering relevant information into Procare in a timely manner and communicating changes to staff as appropriate. Answer and respond appropriately to calls for assistance from classroom staff. Assign and/or provide classroom coverage as needed to maintain ratios during staff breaks, meetings, training, or staffing shortages. Assist in the maintenance and distribution of accurate, up to date Allergy and Medical Care Plan forms. Assist in responding to, assessing, and tracking illnesses and incidents. Assist in response to all emergency situations including regularly scheduled emergency drills. Manage maintenance of all printers, copiers, and appliances; communicating with repair/service providers as needed. Manage all incoming and outgoing mail. Post notices in the lobby and/or staff lounge as needed (heat advisories, communicable diseases, calendar updates, etc.). Assist to ensure all policies and procedures are being followed to maintain compliance with regulating entities (e.g., DHS Licensing, RIDOH, CCAP, etc.), reporting any violations to the Director. Maintain confidentiality when communicating with families, staff, visitors, and anyone inside or outside of the organization. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and strong computer literacy skills Experience with office management, clerical work Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Strong phone communication skills with proper phone etiquette and customer support experience Knowledge of early childhood development infancy - PreK Previous office or administrative experience in an educational or childcare setting is highly desirable Ability to handle confidential information discreetly while demonstrating professionalism at all times Exceptional time management skills with a focus on efficiency and accuracy Personal assistant experience or similar roles that require proactive support to leadership Join us at Learning Brooke where your organizational talents will make a meaningful difference in supporting our mission of nurturing young minds.
