POSITION OVERVIEW
We are seeking an experienced, hands-on Office Manager with a background in medical imaging or diagnostic imaging centers to serve as the operational backbone of EverVita. This is more than an administrative role. You will be our first Office Manager, and your expertise will directly shape the foundation of our center. KEY RESPONSIBILITIES
Operations & Patient Experience Oversee and manage all day-to-day operations of the imaging center Develop and implement office policies, workflows, and SOPs specific to imaging and diagnostics Manage appointment scheduling, patient intake, and patient flow to ensure efficiency and a premium experience Supervise and train front-desk and administrative staff; serve as the internal resource for imaging industry best practices Oversee electronic health records (EHR) and practice management software; ensure accurate record-keeping Billing, Compliance & Administration Ensure full compliance with HIPAA, state, and federal regulations applicable to diagnostic imaging (no insurance billing required) Maintain relationships with vendors, equipment service providers, and referral partners Monitor inventory of supplies and coordinate timely replenishment Handle patient inquiries, concerns, and escalations with professionalism and care Collaborate with the Medical Director and leadership to develop operational strategies and patient service improvements Support physician outreach and relationship-building efforts to drive patient referrals to the center
QUALIFICATIONS & SKILLS
Minimum 3-5 years of office or practice management experience in a medical imaging, radiology, or diagnostic center Demonstrated ability to manage clinical operations, staff, and vendor relationships Strong knowledge of HIPAA, healthcare compliance, and imaging-specific regulations (insurance billing knowledge not required) Experience with EHR/practice management software (preferably Athenahealth) Exceptional leadership, communication, and organizational skills Ability to train and mentor staff with varying levels of healthcare experience Comfortable working in a fast-paced, growing environment
Pay:
$75,000.00 - $95,000.00 per year
