Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service to families and staff Oversee scheduling and calendar management for administrative staff and preschool activities to ensure seamless daily operations Handle vendor management by coordinating supplies, equipment maintenance, and service appointments efficiently Maintain accurate bookkeeping records using accounting software such as QuickBooks, including invoicing, expense tracking, and financial reporting Support human resources functions by assisting with employee records, onboarding processes, and confidentiality of sensitive information Organize and coordinate events such as parent meetings, staff training sessions, and community activities to foster engagement Perform clerical duties including filing, data entry into spreadsheets, managing confidential information, and maintaining organized office records Experience Proven office experience with strong administrative skills in a preschool or educational setting preferred Experience with Brightwheel and Teams preferred Demonstrated supervisory or team management experience to oversee support staff or volunteers effectively Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using spreadsheets for data organization and reporting Familiarity with accounting and finance software such as QuickBooks or similar platforms for bookkeeping and payroll processing Knowledge of office management best practices including filing systems, multi-line phone handling, calendar management, and front desk operations Experience handling confidential information with discretion while maintaining professional communication with clients and team members Strong organizational skills combined with excellent communication abilities to manage multiple priorities efficiently This role offers an exciting opportunity to be a key part of a vibrant preschool community.
