Job Description

POSITION SUMMARY
The Childcare Billing Assistant is responsible primarily for the administration, reporting, processing, and documentation associated with the YMCA's state-funded Child Care Food Program. This position ensures that required records, meal counts, attendance documentation, reports, and supporting documentation are accurate, complete, organized, and submitted within required deadlines. In addition to Food Program responsibilities, the Childcare Billing Assistant may provide limited administrative and billing support to the Childcare Billing Specialist as needed and assigned.
ESSENTIAL FUNCTIONS
Child Care Food Program - Primary Responsibility Manage the administrative processes associated with the YMCA's state-funded Child Care Food Program. Collect, review, organize, and maintain all required Food Program documentation. Verify meal counts, attendance records, and supporting documentation for accuracy and completeness. Prepare and submit required Food Program reports and reimbursement documentation within established deadlines. Ensure documentation meets applicable state program requirements and YMCA procedures. Identify missing, incomplete, or inconsistent information and follow up with appropriate childcare staff for correction. Maintain accurate and organized Food Program records for required retention periods. Prepare documentation for Food Program monitoring visits, audits, reviews, and requests for information. Monitor Food Program deadlines and ensure required documentation is completed and submitted on time. Stay informed of changes to Food Program requirements, procedures, reporting processes, and documentation standards. Communicate potential compliance concerns or discrepancies to the Childcare Billing Specialist or appropriate supervisor. Billing and Administrative Support Assist the Childcare Billing Specialist with billing and administrative duties as needed and assigned. Assist with maintaining accurate childcare billing records and documentation. Provide support with data entry, recordkeeping, filing, and other administrative processes. Assist with reviewing records and identifying discrepancies when requested. Complete other duties related to childcare billing and administrative support as assigned.
QUALIFICATIONS
High school diploma or equivalent preferred. Previous experience with childcare administration, billing, recordkeeping, reporting, or government-funded programs preferred. Strong attention to detail and accuracy. Excellent organizational and recordkeeping skills. Ability to maintain confidential information. Ability to follow established procedures and meet required deadlines. Basic computer skills and ability to learn required software and reporting systems. Ability to work independently and manage assigned responsibilities with minimal supervision. Strong communication and problem-solving skills.

Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust.
Details:
Part-time; Non-Exempt, scheduled 2-4 hours per week .
Starting Hourly Pay Range:
$20 per hour, based on experience.
