Job Overview Full-time (9:30 AM to 6:15 PM) OR part-time (12:30 PM to 6:15 PM) Monday - Friday We are seeking a dynamic and organized Child Care Ministry Administrative Assistant to join our dedicated team. In this vital role, you will serve as the first point of contact for families and visitors, manage administrative tasks for management , and support the smooth operation of our child care programs. Your enthusiasm and attention to detail will help foster a welcoming environment where children and families feel valued and supported. Responsibilities Greet and send off visitors, families, and staff at the front desk with friendly professionalism, ensuring excellent customer service and phone etiquette. Manage multi-line phone systems, handle inquiries, schedule appointments, and direct calls efficiently. Maintain accurate records through data entry, filing, and organization of child care documentation, attendance logs, and confidential information. Oversee calendar management for program schedules, meetings, and events using Google tools. Support office management tasks such as processing orders and invoices, and tracking inventory. Assist with clerical duties including proofreading documents, preparing correspondence, and creating flyers, montly calendars, newsletters, and brochures. Coordinate communication with parents and staff via email or client communication platforms (Brightwheel) to ensure timely updates and support. Qualifications Proven office management experience with strong organizational skills and attention to detail. Proficiency in Google office (Gmail, Drive, Docs, etc) along with computer literacy in general office software. Excellent phone communication skills coupled with professional phone etiquette. Bilingual abilities are a plus to effectively communicate with diverse families. Demonstrated ability to handle confidential information responsibly and discreetly. Strong data entry skills with high accuracy; clerical experience is highly valued. Prior customer service or client communication experience in an administrative setting. Ability to multitask efficiently while managing time effectively in a fast-paced environment. Personal assistant or calendar management experience is advantageous for supporting program schedules. Pay:
