Job Description

Program Assistant Community Music School, 90 Main Street, Centerbrook, CT 25 hours per week: T- Th 2-7 pm, Fri 12-5 pm, Sat 9-2, Sept.-June. Additional days as necessary. $20 per hour. Position begins mid-Aug, 2026. General Responsibilities The Program Assistant provides front-line customer service and administrative support during peak hours of operation. This role ensures smooth daily operations, supports registration processes and enhances the overall experience for students and families. The Program Assistant reports to the Associate Director, and works closely with the Program Coordinator. Key Responsibilities Front Desk and Customer Service Serve as first point-of-contact for students, families and visitors Greet all students, families and visitors that enter the school in a friendly and welcoming manner, and offer and provide helpful assistance Answer phones and respond to inquiries about programs and lessons Provide accurate and helpful information about CMS offerings Registration & Administrative Support Assist with student registrations, payments and account inquiries Enter and update student information in database Relay scheduling updates, cancellations and messages to appropriate staff Support communication between faculty, students and administration Support billing communications and documentation Provide general administrative support during peak program hours Other duties as assigned Event & Program Support Assist with logistics, publicity and preparation for recitals, performances, concerts, fundraisers and other CMS events Create graphic design materials, as needed Facility Support Maintain a welcoming and professional environment Ensure studios and waiting areas are safe, clean and well-ordered. Maintain awareness of class/lesson schedules, setting up and reconfiguring rooms for programs as appropriate. Maintain and update CMS bulletin boards Assist with opening and closing procedures, as needed Carry out weekly watering of piano humidifiers Monitor usage and inventory levels of necessary supplies to ensure timely reordering Ensure that studios, offices, lobby, restrooms and other designated areas are consistently stocked with necessary supplies (antibacterial wipes, office supplies, toilet paper, paper towels, etc.) Qualifications Proficiency in Microsoft Word and database/Customer Relations Management software Experience in customer service Strong communication skills with phone reception experience Ability to manage multiple priorities and support student or customer needs Detail-oriented with excellent organizational and problem-solving skills
