Description:
The Programs Assistant is a welcoming, responsive first point of contact for families seeking help from Family Promise of Martin County and provides hands-on support to the Director of Programs, and Program Services Coordinator. This role answers incoming calls and the Family Center door, completes initial phone screenings, welcomes families into the Family Center, and helps ensure that families are connected to the appropriate next step. The Programs Assistant uses sound judgment, demonstrating thoughtful inquiry and effective questioning to fully understand client's circumstances and needs. Must possess strong listening skills, asking strategic follow-up questions when a family's situation requires clarification. The positions also supports program nights, walk-throughs of transitional housing units and shelter. Participates as a second staff presence in one-to-one family screenings and meetings, as needed. This position works with families facing or experiencing homelessness and low-income families and is expected to provide person-centered, trauma-informed, respectful service consistent with Family Promise values.
Responsibilities:
Include the following but are not limited to: 1. Exhibits a professional attitude and models appropriate attire, communication and personal interaction with guests and host sites. 2. Serves as the first point of contact for people calling Family Promise of Martin County; answers calls promptly, listen carefully, respond with hospitality and empathy, and route or escalate needs appropriately. 3. Completes initial phone screenings and intake conversations using established screening tools and procedures. Asks appropriate follow-up questions, use active listening and effective questioning to identify missing or conflicting information, request documentation, and review documentation thoroughly. 4. Welcome families, visitors, volunteers, and community partners to the Family Center; answer the door and help create a safe, calm, respectful, and hospitable environment. 5. Enter and maintain accurate call, screening, intake, demographic, referral, and program information in tracking system, HMIS, and FamilyLink. 6. Assist the Case Management team with day-to-day program and family support needs, including scheduling, follow-up, documentation, resource coordination, program logistics, and other assigned tasks. 7. As assigned, assist CM with families by working with them individually to teach, encourage and foster a sense of self-confidence. 8. Maintains agency connections and referrals to support family needs. (i.e Food stamps, clothing, medical care, legal services, etc.) 9. Maintain professional boundaries and confidentiality while communicating with families and handling sensitive information. 10. Complete accurate and timely data entry at intake and ongoing to maintain consistent and current reporting on each famiy's profile and program outcomes. 11. Assists with Family Promise programs and program operations as needed, including Program Nights (1 night per month), Shelter, Eviction Prevention, Diversion, HUMI/HUSI, Almost Home, Stabilization and relocation programs. 12. Complete Director of Programs administrative requests by set deadlines.
Qualifications :
  • Experience working directly with families in need, families experiencing housing instability or homelessness, or other at-risk/vulnerable populations is required.
  • Demonstrated ability to build rapport quickly and communicate with warmth, professionalism, empathy, and respect, including during difficult or emotionally charged situations.
  • Strong listening and interviewing skills, including the ability to recognize when additional questions are needed and to gather relevant information without making assumptions.
  • Ability to exercise good judgment, maintain professional boundaries, protect confidentiality, and know when to seek guidance or escalate a concern.
  • Ability to work productively in a busy, sometimes unstructured environment with frequent interruptions and shifting priorities.
  • Strong organization, recordkeeping, follow-through, and written and verbal communication skills.
  • Comfort with basic computer applications, email, internet use, and data entry; experience with Microsoft Word, Excel, Outlook, Teams required. Experience working in CRMs preferred.
  • Ability to work effectively with diverse families, volunteers, staff, and community partners.
  • Human services, social services, nonprofit, housing, shelter. Customer services, front-desk, intake, or related experience strongly preferred. Relevant lived or professional experience may be considered alongside formal education.
  • Valid driver's license, and ability to perform the physical functions required for Family Center and program operations, including sitting, standing, bending, and lifting program supplies up to 30 pounds.
