Job Description

Introduction Maryland School for the Deaf (MSD) is a diverse, bilingual community who in partnership with families, provides an equitable and exemplary education in a nurturing, engaging, and challenging environment to ensure our students achieve personal excellence and become lifelong learners.� As such, we are looking for dedicated individuals who can join us in the education of the children at MSD.\r\n\r\n\r\nThis is an 11-month school year position.\r\n
LOCATION OF POSITION
Frederick Campus, 101 Clarke Place, Frederick, MD 21705\r\n Main Purpose of Job Provide administrative support to the High School principal, High School Operations Manager, teachers, and staff in High School department.\r\n
POSITION DUTIES
�Under the direction of the High School Principal and High School Operations Manager, provides\r\nclerical and administrative support necessary for the efficient day-to-day operation of the High\r\nSchool program. Duties include, but are not limited to, the following:\r\n\r\n\r\nPrepare, organize, maintain, and update school administrative documents, correspondence,\r\nspreadsheets, forms, records, and tracking systems. This includes maintenance and housekeeping\r\nrequests, interpreter requests, field trip requests, purchase orders, class schedules, student and staff\r\nrosters, IEP accommodations/supplementary aids reference charts, student attendance records,\r\nstaff timesheets and attendance trackers, substitute coverage trackers, and meeting notes for\r\nMTSS, department, staff, and other High School meetings.\r\n\r\n\r\nDraft, format, proofread, distribute, and maintain correspondence, forms, reports, notices, and other\r\nwritten communications for the High School Principal and High School team.\r\n\r\n\r\nAnswer and appropriately route High School office telephone calls, emails, messages, and other\r\ncommunications in a professional and timely manner.\r\n\r\n\r\nFacilitate effective communication among the High School administration, staff, students, families,\r\nand other departments. Receive and communicate information from parents/guardians regarding\r\nstudent absences, concerns, appointments, transportation changes, and other student or\r\ndepartmental needs, and refer matters requiring administrative attention to the appropriate staff\r\nmember or administrator.\r\n\r\n\r\nProvide timely reminders and follow-up communication to High School staff regarding deadlines,\r\nrequired documentation, meetings, schedules, coverage needs, and other operational matters as\r\ndirected by the High School Principal.\r\n\r\n\r\nCoordinate and maintain the High School Principal and High School Operations Manager's\r\ncalendars and assist with scheduling appointments, meetings, conferences, and other activities\r\ninvolving High School staff, students, families, and outside participants.\r\n\r\n\r\nAssist with the coordination and logistical preparation of High School and school-wide activities,\r\nmeetings, programs, and events, including room reservations, interpreter requests, preparation and\r\ndistribution of materials, ordering supplies/items, and other logistical arrangements.\r\n\r\n\r\nMaintain and monitor inventories of High School classroom and office supplies, instructional\r\nmaterials, classroom furniture/equipment, supply room materials, keys, and other assigned school\r\nproperty. Coordinate requests for replacement, repair, relocation, or replenishment as needed.\r\n\r\n\r\nAssist the High School Principal with student attendance procedures, including maintaining\r\nattendance records, receiving absence information from families, following up on attendance\r\ndocumentation, and communicating attendance-related information to appropriate staff.\r\n\r\n\r\nAssist with staff attendance and timekeeping processes by maintaining accurate staff attendance\r\nand timesheet records, monitoring required submissions, and following up with staff regarding\r\nmissing or incomplete documentation.\r\n\r\n\r\nCoordinate instructional staff coverage by reviewing ReadySub submissions, monitoring daily\r\nstaffing needs, following up on incomplete or outstanding requests, communicating coverage\r\nassignments, and processing/approving requests as directed or authorized by the High School\r\nPrincipal.\r\n\r\n\r\nProvide clerical and logistical support to High School meetings, including preparing materials,\r\nmaintaining agendas and attendance records when requested, taking and distributing meeting notes,\r\nand assisting with follow-up documentation.\r\n\r\n\r\nCollaborate with the Main Office and other school departments to assist with lunch duty, student\r\ntransportation communication and coordination, student arrival/dismissal needs, and other daily\r\noperational responsibilities as assigned.\r\n\r\n\r\nAssist with maintaining an organized, welcoming, and functional High School environment, including\r\npreparing bulletin boards and displays and assisting with the organization or relocation of classroom\r\nand office materials and equipment.\r\n\r\n\r\nMaintain confidentiality of student, family, personnel, and school information and records in\r\naccordance with applicable laws, regulations, policies, and Maryland School for the Deaf\r\nprocedures.\r\n\r\n\r\nPerform other clerical, administrative, and operational duties as assigned by the High School\r\nPrincipal.\r\n
MINIMUM QUALIFICATIONS
Education:
High school diploma or equivalent (GED) required.\r\n\r\n\r\n
Experience:
Two years of experience performing office, secretarial, or clerical work involving typing\r\nduties.\r\n\r\n\r\n
Knowledge, Skills, and Abilities:
\r\n\r\n\r\n Fluency in English and American Sign Language (ASL) required.\r\n Strong English written communication, proofreading, and organizational skills.\r\n Proficiency with technology and common office applications, including word processing,\r\n spreadsheets, email, electronic records, and online administrative systems.\r\n Knowledge and understanding of Deaf culture and the Deaf community.\r\n Ability to organize and prioritize multiple tasks, maintain accurate records, and meet\r\n established deadlines.\r\n Ability to communicate professionally and effectively with students, families, staff,\r\n administrators, and the public.\r\n Ability to handle confidential and sensitive student and personnel information with discretion.\r\n\r\n\r\n\r\n\r\n
DESIRED OR PREFERRED QUALIFICATIONS
Experience providing clerical or administrative support in a school or educational setting.\r\n\r\n\r\nExperience directly supporting a school administrator, principal, department, or similarly fast-paced\r\noffice environment.\r\n\r\n\r\nExperience using PowerSchool and ReadySub, or comparable student information and substitute\r\nmanagement systems.\r\n\r\n\r\nDemonstrated ability to quickly learn, adapt to, and effectively use new technology platforms,\r\nsoftware, and administrative systems.\r\n\r\n\r\nBachelor's degree from an accredited college or university preferred.\r\n
SPECIAL REQUIREMENTS
