Administration Statement of Purpose The Marketing, Communications & Program Assistant supports Deaconess Nurse Ministry's marketing, communications, fundraising, grant, and nonprofit program efforts. This position assists with communicating DNM's mission, programs, services, impact, and organizational activities to donors, partners, funders, participants, and the broader community. The position provides administrative and project support to ensure marketing initiatives, fundraising activities, grant requirements, program communications, community engagement, and organizational projects are completed accurately and timely.
I. MARKETING & COMMUNICATIONS
Assist with the development and distribution of newsletters, flyers, announcements, email communications, presentations, and promotional materials. Assist with maintaining and updating DNM's website and digital communication platforms. Develop and organize content highlighting DNM's mission, programs, services, accomplishments, and community impact. Gather stories, photographs, statistics, program information, and other content from staff. Support annual, seasonal, fundraising, and year-end communication campaigns. Assist with coordinating communications with outside marketing, design, printing, or other vendors. Help ensure communications are professional, accurate, consistent, and aligned with DNM's mission and brand.
II. SOCIAL MEDIA & DIGITAL COMMUNICATIONS
Assist with developing and maintaining a social media content calendar. Draft and schedule approved social media content. Monitor social media activity and route questions or requests to the appropriate staff member. Promote DNM programs, events, fundraising initiatives, community activities, and accomplishments. Track social media, email, and digital engagement activity. Assist with preparing reports on communication and campaign performance, including click-through and engagement activity.
III. FUNDRAISING & DONOR COMMUNICATIONS
Assist with organizational fundraising campaigns and donor engagement activities. Support fundraising appeals, donor communications, newsletters, and electronic communications. Assist with processing and tracking donations and maintaining accurate donor information. Prepare donor acknowledgments and thank-you communications in accordance with DNM procedures. Maintain donor mailing lists and assist with donor database updates. Assist with donor reports and other fundraising-related information. Support recognition and communications involving donors, volunteers, community partners, and other supporters.
IV. GRANT & NONPROFIT PROGRAM SUPPORT
Assist with the preparation, organization, and submission of grant applications, reports, and supporting documentation. Gather program information, statistics, outcomes, success stories, and other materials needed for grant proposals and reports. Work with program and nursing staff to collect accurate information regarding program activities, services, and outcomes. Maintain organized grant files, reporting calendars, deadlines, and supporting documentation. Assist with tracking grant deliverables, reporting requirements, and submission deadlines. Support preparation of program fact sheets, presentations, brochures, reports, and other materials. Assist with collecting and organizing data for grant reports, funder updates, annual reports, and other organizational reporting. Support nonprofit programs, community outreach initiatives, and special projects as assigned.
V. PROGRAM & ORGANIZATIONAL SUPPORT
Assist staff with program materials, meeting materials, presentations, correspondence, and organizational documents. Assist with materials related to program initiatives, community partnerships, contracts, renewals, and special projects. Support program meetings, trainings, retreats, community initiatives, and other organizational activities. Assist with gathering information from program staff to ensure communications accurately reflect DNM's services and activities. Provide administrative support to the Executive Director and staff for organizational projects and initiatives as assigned.
VI. EVENTS & COMMUNITY ENGAGEMENT
Assist with planning and coordinating DNM events, fundraising activities, community initiatives, meetings, trainings, and retreats. Assist with event registration, invitations, promotional materials, supplies, logistics, and vendor communications. Support event setup, photography, documentation, follow-up communications, and evaluation. Assist with developing promotional materials for events and community activities. Help collect stories, photographs, attendance information, and other content for post-event communications and reporting.
VII. DATABASE & ADMINISTRATIVE SUPPORT
Maintain accurate organizational databases, contact records, mailing lists, and electronic files. Assist with maintaining donor, partner, funder, program, and organizational information. Enter and maintain data in DNM's designated nonprofit and database systems. Assist with preparing reports and data requested for fundraising, grants, programs, communications, and organizational activities. Maintain organized electronic and paper files in accordance with DNM procedures. Provide general administrative support to the Executive Director and staff as assigned.
VIII. BOARD & LEADERSHIP SUPPORT
Assist with preparation and distribution of Board materials, presentations, reports, and communications. Assist with Board meeting logistics and special projects as requested. Maintain confidentiality regarding Board, donor, employee, client, financial, and organizational information.
IX. PROFESSIONAL CONDUCT & TEAMWORK
Participate in staff meetings and organizational activities. Maintain professional relationships with staff, donors, volunteers, funders, community partners, vendors, and members of the public. Represent DNM professionally and demonstrate commitment to the organization's mission and values. Maintain confidentiality and comply with all DNM policies and procedures. Perform other duties and responsibilities as assigned by the Executive Director.
REQUIRED & PREFERRED QUALIFICATIONS
At least three years of experience in administrative support, communications, marketing, nonprofit operations, development, or a related field. Strong written and verbal communication skills. Strong organizational and time-management skills. Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook. Associate degree, bachelor's degree, or college coursework in marketing, communications, public relations, nonprofit management, business administration, or a related field preferred. Nonprofit experience preferred. Experience with social media, email marketing, website content management, donor databases, or nonprofit database systems preferred. Experience assisting with grant applications or grant reporting preferred. Experience with Canva or similar design platforms preferred.

PHYSICAL & WORK ENVIRONMENT
Primarily works in an office environment and may require occasional local travel and evening or weekend hours for DNM events, meetings, or community activities. Requires ability to use standard office equipment and perform routine computer-based work.
Pay:
$23.00 - $24.40 per hour Expected hours: 37.5 per week
