Job Description

Summary Statement:
It is the responsibility of the Program Assistant to efficiently take care of the clerical and receptionist responsibilities related to the program office, and coordinate care for all new admissions.
Duties and Responsibilities:
Answer all incoming phone calls and directing callers to the appropriate staff person or outside service. Sort and distribute incoming mail. Typing as assigned by Clinical Director. Maintain all office equipment and order office supplies. Track client liabilities and other miscellaneous monies due. Work closely with Case Manager to report client balances. Manage weekly counselor schedule, as well as keeping track of time off, trainings, etc. for staff on office calendar. Record and distribute weekly staff meetings minutes. Assist clinical staff by making all new client charts. Meet with all new admits and complete orientation packet, collect urinalysis, count and document medications, and screen personal belongings. Count, document, and store all client medications. Input client data into PA WITS for SCA funded clients. Complete monthly reporting for outcomes in the QI database. The Program Assistant is also the Privacy Officer with respect to clients receiving services at GateHouse and with respect to H.E.A.R., Inc. employees Assist with planning and organizing parties or other special events as assigned. Perform other duties as assigned.
Physical Requirements:
Ability to sit for extended periods of time and occasionally light lifting.
Qualifications:
Previous office experience. High School Degree or higher. Must complete all training as required by DDAP and CARF regulation. CAAP, CRS, or CFRS must be obtained within 2 years of employment and maintained
Knowledge, Skills, and Abilities:
Must be computer literate and able to work with most Microsoft products. Knowledge of office procedures, methods and equipment including computers and associated equipment. Operating various types of office equipment including facsimile machines, photocopiers, digital camera, and digital recorder. Able to handle multiple tasks at one time. Flexibly to a variety of work situations and interruptions. Organize work for appropriate and timely completion. Work independently in the absence of supervision. Communicate clearly and concisely, both orally and in writing. If in recovery, two years of continuous sobriety is preferred Knowledge of Protected Health Information, specifically understanding HIPAA Policies and how it relates to client information.
