Hybrid Job Summary:
The Illinois Certification Board's (ICB) Program Assistant will provide essential administrative and program support to ensure smooth operations of the organization and the Certified Alcohol and Drug Counselor (CADC) Workforce Expansion Program grant. This role is responsible for coordinating day-to-day activities, supporting credentialing processes, and maintaining accurate program data. The Program Assistant will serve as a point of contact for individuals seeking the CADC credential, offering support and guidance throughout the application process. Key Responsibilities Provide general administrative support, including scheduling, correspondence, and meeting coordination. Maintain organized records, files, and program documentation. Assist with communication between program staff, applicants, and external partners. Assist grant manager on project management for the CADC Workforce Expansion Program, keeping deadlines of projects and submissions in mind. Provide general administrative support, including scheduling, correspondence, and meeting coordination. Assist with other ICB administrative and support duties as assigned. Proofread documents, website language, and correspondence for the CADC Data Management & Reporting
  • Enter, track, and maintain accurate data for CADC Workforce Expansion Program activities, including initial applications, retention, re-certification, exam fees, retest fees, initial certification fees, retest fees and initial certification fees.
  • Collect, analyze, and compile program data to support monitoring, reporting, and evaluation requirements.
  • Ensure timely submission and accuracy of Phase 1 program data and assist with Phase 2 program data.
Credentialing Process Support Process and review all CADC applications in Certemy, ensuring compliance with established requirements.[J1] Monitor application progress and communicate with applicants regarding status, missing information, or next steps. Maintain confidentiality and integrity of applicant information. Assist with other credentialing processes for other credentials as time permits. Applicant & Participant Support
  • Provide support hours and technical assistance for individuals seeking the CADC credential.
  • Answer applicant questions and provide guidance regarding program requirements, timelines, and processes.
  • Refer applicants to appropriate staff or resources as needed. Qualifications - Required Skills and Abilities
  • Associate's degree preferred; equivalent experience in administration, data management, or program coordination is considered.
  • Strong organizational skills with attention to detail and accuracy.
  • Experience with data entry, tracking systems, or credentialing platforms (experience with Certemy preferred.
  • Demonstrable proficiency with Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace.
  • Ability to communicate clearly and professionally with diverse groups of stakeholders.
  • Commitment to confidentiality, professionalism, and supporting workforce development in behavioral health Working Conditions & Physical Requirements This is a full-time hybrid position.
Work is primarily performed in an office or remote setting with standard office equipment. Ability to lift up to 15 pounds occasionally. Availability during regular business hours is required to support applicants and program staff.
