Job Description
About the Role The Program Assistant provides administrative, operational, and customer service support across O.V.E.R. programs, including WIOA, CCMEP, GRIT, WorkOhio Connector, and other grant-funded initiatives. This role is often the first point of contact for participants, employers, educational institutions, and community partners, so a friendly, professional demeanor and strong attention to detail are essential. What You'll Do Program Administration & Participant Support Provide administrative support for O.V.E.R.'s workforce development programs Assist with participant intake, eligibility determination, enrollment, referrals, and documentation Process program referrals and connect individuals to employment, training, education, and supportive services Maintain accurate participant files, service records, and compliance documentation Customer Service & Community Engagement Serve as a welcoming point of contact for participants, employers, educational institutions, and community partners Respond promptly and professionally to phone, email, and in-person inquiries Share information about available services, program requirements, and community resources Build positive relationships with employers, training providers, and partner agencies Support outreach, recruitment, and community engagement efforts, including events and promotional activities Administrative & Office Support Prepare and distribute correspondence, reports, presentations, and newsletters Manage scheduling for meetings, workshops, trainings, and special events Coordinate logistics for job fairs, career exploration activities, and community events Maintain filing systems and administrative records Assist with outreach materials and social media content as needed What We're Looking For Education High school diploma or equivalent required Associate degree in business, education, communications, human services, public administration, or related field preferred Experience One year of administrative, office support, customer service, or program support experience preferred Experience in workforce development, education, human services, nonprofit, or public-sector programs preferred Experience working with diverse and underserved populations preferred Skills Strong verbal, written, and interpersonal communication skills Excellent customer service skills and professional demeanor Strong organizational and time-management abilities, with the ability to juggle multiple priorities accurately Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams) Ability to maintain confidentiality and exercise sound judgment Comfortable working independently and as part of a team Understanding of and sensitivity to the needs of rural and Appalachian communities Work Environment This position works in a professional office setting with frequent interaction with participants, employers, and community partners. Occasional local and regional travel is required, so a valid driver's license and reliable transportation are needed. Hybrid work arrangements may be available based on agency needs and approval.
