Job Description

Loudoun County Department of Family Services seeks a dedicated and experienced professional for a Program Assistant role. The successful candidate will join the Child Protective Services program within the Department of Family Services, which envisions better health, safety, and well-being for all. We support individuals and families in the community to live their best lives while advocating for those most vulnerable and respecting their right to self-determination. Loudoun County Department of Family Services (DFS) is seeking a qualified, dedicated professional to join our Child Protective Services (CPS) team as the Child Protective Services Program Assistant to provide administrative support to the CPS Program Manager and six supervisors, and ancillary support to the rest of the CPS program consisting of more than 40 direct service staff. Successful candidates should be resourceful, self-motivated, well-organized, have great time management skills, be willing to work in a team environment and problem-solve independently. Responsibilities include, but are not limited to: Provides administrative support for multiple CPS teams for special projects, various functions, and meetings, including maintaining required program documentation and client records. Provides courteous and timely customer service to County staff, vendors, residents, and visitors. Assists with purchasing activities, including reconciling accounts against purchase orders, contacting vendors and program staff to ensure purchase orders have been processed and paid, and responding to vendor inquiries. Monitors copiers, printers, and fax machines and assures all equipment is operational. Arranges for regular service and/or repairs. Manages the booking and operations of conference rooms. Maintains website as assigned. May perform other essential job functions specific to the position and department assignment.
The successful candidate will have:
Working knowledge of administrative and clerical procedures and systems, such as word processing, managing files and records, office forms and applications, and other office procedures and terminology. Ability to perform basic mathematical functions such as addition, subtraction, multiplication, division, and calculating rates, ratios, and percentages, as well as interpreting basic data and graphs. Knowledge of basic accounting practices and principles. Some knowledge of basic human service needs and state computer programs. Skill in operating various automated office equipment, including calculator, fax/copier, and using multiple Microsoft software packages, computer-driven word processing, spreadsheet, graphics, and file maintenance programs. Demonstrated ability to work with clients, co-workers, professionals, and the public; read and comprehend simple documents. Write simple correspondence and present information in one-on-one and small group situations; follow written and oral instructions; use correct spelling and basic grammar; and display common courtesy and be a team player. Ability to plan, organize, and prioritize work schedules to meet deadlines. Ability to compile, organize, and post data from records, reports, and other sources using the appropriate format. Salary commensurate with experience. High School diploma or equivalent and two (2) years of related work experience or equivalent combination of education and experience. Preferred Bilingual skills preferred (Spanish/English) Criminal background check required. Based on assigned program area a credit and/or DMV check may also be required. For DMV check, valid driver's license and good driving record required (driving records may be reviewed annually for continued qualification). For licensed programs, requirements include: Fingerprinting, TB test within 30 days of hire; pass Child Protective Services (CPS) check; hold or obtain First Aid/CPR certifications at hire or within four (4) months. Some programs may have additional legal requirements, credentials, or certifications to meet prior to hire or within the probationary period and/or annually.
Special Requirements:
Must be available for duty beyond the normal workday, which includes nights, weekends, and holidays, as required to perform the functions of the position. This position is considered essential personnel and will require reporting to work during times designated countywide as approved for unscheduled leave regardless of the emergency (e.g., weather, transportation, disaster). Work may be required and assigned to an alternate worksite(s) to carry out duties that support operational needs. Successful candidates will respond to community crises as directed.
