JOB SUMMARY
Perform a variety of clerical duties in the Multilingual Education & Student Supports Department with student record information collection, tracking, data entry and records management.
PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS
Provide clerical support, answer phones; direct inquiries to appropriate personnel; and assist with other duties as directed for the purpose of providing quality customer service. Process various documents and perform functions such as process mail; prepare and mail correspondence; responsible for a variety of information record keeping (e.g., student records, document filing, tracking information, data entry in online student records systems, etc.). Verify student program eligibility and perform multilingual (ML) student data entry and student records management (in office and sending to schools). Assist with federal and state program compliance (e.g., multilingual learner annual letters, WIDA score reports). Monitor and reconcile student data in the OSPI Education Data System (EDS). Work collaboratively with department and Multilingual Education and Student Supports (MESS) building staff on all assignments. Assist with the distribution of curriculum orders, including moving and emptying boxes, checking purchase orders, and labeling materials. Provide clerical support for summer school during the months of July and August, in years when assigned work calendar coincides with summer school schedule. Word process, type, copy, collate, sort, file and distribute documents to support the efficient operation of MESS program services. Prioritize and organize tasks for the purpose of meeting deadlines, accessibility of information, and completing job duties in a timely manner. May serve as a designated first aid provider. Comply with District Policies. Maintain acceptable job attendance. Perform other duties as required or assigned by supervisor(s) for the purpose of maintaining an organized and efficient environment.

QUALIFICATIONS

Ability to exercise discretion and maintain trust and confidentiality. Ability to develop positive, amenable relationships with staff, students, and public. Skill in effective organization and efficiency. Skill in accuracy and attention to detail. Knowledge and ability to successfully use basic math and write routine documents using correct spelling, grammar and punctuation. Skill and ability with operating office equipment, which may include: telephone, computer, typewriter, calculator, copier, laminator and media equipment. Knowledge of and ability to use various software programs related to job responsibilities including but not limited to outlook, word, excel, publisher, etc. Skill and ability to develop and maintain excel spreadsheets and data notebooks. Ability to complete multiple tasks simultaneously with frequent interruptions. Ability to maintain regular and punctual attendance. Ability to lift boxes up to 25 pounds and move them short distances.
Education/Training:
High school diploma or its equivalent Word process with accuracy at 50 w.p.m.
Experience:
Two (2) years of applicable office or clerical experience. Vocational or technical clerical training may substitute for work experience. Experience with Microsoft software programs such as Access, Excel spreadsheets, and State and Federal online student record systems preferred. Preferred Qualifications Experience using Qmlativ. Experience using the OSPI Education Data System (EDS). Experience working in a school multilingual learner program. Speaks Spanish, Ukrainian, or Russian.
